JOB TITLE: Guest Services Agent
REPORTS TO: Guest Services Supervisor or Front Desk Manager
JOB SUMMARY
As a Guest Services Agent at Cinnamon Shore, you will be the welcoming face of our community, ensuring every guest, owner, and visitor experiences exceptional service. You will be responsible for check-in and check-out procedures, handling payments, processing guest charges, and managing reservations. Additionally, you will answer and direct phone calls, perform clerical tasks, and efficiently address guest inquiries and concerns to maintain the highest level of satisfaction.
KEY RESPONSIBILITIES
- Provide outstanding customer service at all times, fostering a warm and welcoming atmosphere.
- Follow all daily operational procedures and company policies.
- Monitor and promptly respond (within 15 minutes) to emails, text messages, and voicemails in the vacation rental system.
- Dispatch guest requests and log relevant tasks, ensuring timely follow-ups.
- Maintain a clean and organized rental office, including the kitchen, library, conference room, manager’s office, key room, and bathrooms.
- Prepare and organize daily welcome packets for guest arrivals.
- Review arrival and departure notes, logging essential information in the Cinnamon Shore texting system and Slack.
- Document guest concerns and resolutions in the Guest Resolution Log and follow up as needed.
- Assist guests with existing reservations, including booking beach services and golf carts.
- Address guest issues professionally, prioritizing resolution while fostering relationships for future stays.
- Maintain knowledge of all property amenities, locations, and services.
- Perform additional duties as assigned to support company and departmental objectives.
REQUIRED SKILLS & QUALIFICATIONS
- Proficiency in computer operations and reservation systems.
- Strong customer service, sales, and problem-solving skills.
- Excellent verbal and written communication abilities.
- Knowledge of the local area and attractions.
- Ability to remain professional, courteous, and composed when handling challenging guestinteractions.
PHYSICAL REQUIREMENTS
- Ability to stand, walk, bend, reach, twist, and lift up to 40 lbs.
- Work primarily indoors (95%) with occasional outdoor duties (5%).
AVAILABILITY
- Must be available to work a flexible schedule, including evenings, weekends and holidays.
EDUCATION & EXPERIENCE
- High school diploma required; some college coursework preferred.
