Admissions & Financial Aid Data Assistant
Full-Time, Non-Exempt, 12 months
Reports To Director of Admissions
Description:
This twelve-month, full-time position reports to the Director for Advancement and supports a high functioning shared services group assisting Advancement and other CHCA departments. This role ensures the integrity of data gathered in the admission process for schoolwide impact and provides administrative and program support for tuition assistance for CHCA's Edyth B. Lindner, Founders' and Martha S. Lindner campuses and the Ohio EdChoice Program for the Upper School. This role will primarily be responsible for receiving, reviewing, entering, and analyzing data using computer systems for admission and financial aid processes. S/he will ensure accuracy of all data recorded and will perform data audit functions to support the CHCA's effective administration of these programs. S/he must understand and facilitate the shared data among CHCA departments reliant on admissions, tuition assistance, and EdChoice data, involving collaboration and regular communication with peers whose departments at CHCA are impacted by this data. The scope of work may shift as shared services resourcing requires.
Qualifications:
- Strong organizational skills and attention to detail
- Bachelor's Degree preferred or equivalent combination of education, training, and experience
- High degree of accuracy in working with data
- Excellent written and verbal communication skills
- Data driven approach to work
- Proficient in business software including Microsoft Word, Excel, PowerPoint, and Adobe suite
- Experience managing multiple responsibilities and seasonal peaks in workflow
- Proven relationship building skills with varied constituencies (both internal and external)
- Experience utilizing CRM and SIS solutions
- Self-starter, with high level of personal initiative
- Ability to always hold information in the strictest of confidences at all times
- Enjoy working in a fast-paced, collaborative, team environment
- Advanced understanding of business functions, workflows, and processes

Duties and responsibilities:
Admissions Data
- Manage data integrity checks and system maintenance related to Admissions process to include processing change requests, errored submissions and household changes
- Manage Admissions inbox and communicate new enrollment/withdraws internally throughout the school year. This includes ensuring the ancillary databases are up to date with most recent admissions changes and enrollment.
- Monitor defined monthly/weekly reports to support the Admissions process and communicate any results to the team
- Assist with new enrollment and re-enrollment contracts during the school year as changes are requested or troubleshooting is needed
- Data entry of shadow visits and tour data into Veracross
- Strategic development and maintenance of dashboards for Admissions annual projections and data reporting to broader team to include enrollment and net revenue tracking along with open house and tour/shadow visit analysis
- Create Admissions events along with event registrations in Veracross and perform routine tracking of registration to report analysis of events
- Event support to include seasonal data processing, shadow visit preparation and supporting all Admissions in person events like Open House, New Student Tailgate, etc
- Back up support with file management to include files received for processing applications in Veracross and to support documentation needs at multiple campuses
- Manage ad hoc data requests for Admissions
Ohio EdChoice Scholarship
- Data analysis of overall impact of participation in EdChoice and Tuition Assistance
- Receive, review, and enter EdChoice applications (and all associated supporting documentation) into the OHID portal
- Manage EdChoice scholarship award data into CHCA database (Veracross) and communicate with Business Office
- Field eligibility and application questions from CHCA families
- Enter required data into OHID portal (annual renewals, CHCA tuition rates, student attendance and scholarship acceptance/renewals)
- Routinely audit data entered to ensure compliance with EdChoice program criteria
- Contact families to resolve questions, inconsistencies, or missing application data
- Continued learning on EdChoice changes and how it impacts CHCA families to include any website updates needed.
- Provide back up support to EdChoice and Tuition Assistance Specialist role as needed.
Tuition Assistance
- Manage award data into software portals and CHCA database (Veracross) and communicate with Business Office
- Audit and reconciling tuition assistance data; reconcile data to ensure awards are categorized correctly and applied in correct amounts to student records
SGO
- Monitor third-party needs assessment portals regularly for new SGO applications from families applying for Tuition Assistance
- Follow up with families to ensure SGO applications are complete
- Manage award data into software portals and CHCA database (Veracross) and communicate with Business Office
- Audit and reconciling SGO awards data; reconcile data to ensure awards are categorized correctly and applied in correct amounts to student records
