Position Summary
NeighborHub Health is seeking an experienced, highly organized Executive Assistant to the Chief Executive Officer & Special Projects Coordinator to provide executive-level support to the CEO and help coordinate key organizational initiatives.
This role is ideal for someone who is proactive, detail-oriented, professional, and comfortable working across multiple departments and priorities. In addition to managing traditional executive support functions, this position will assist with Board activities, organizational projects, leadership initiatives, and strategic priorities within a mission-driven Federally Qualified Health Center (FQHC).
The successful candidate will be able to anticipate needs, manage competing deadlines, communicate effectively with senior leaders, and ensure that important projects and commitments continue moving forward.
Key ResponsibilitiesExecutive Support
- Manage the CEO’s calendar, meetings, travel, scheduling, and executive priorities.
- Prepare agendas, presentations, reports, correspondence, and executive briefing materials.
- Track CEO commitments, deadlines, decisions, and follow-up activities.
- Coordinate communication between the CEO, leadership team, Board of Directors, employees, and external partners.
- Maintain confidentiality involving organizational, personnel, financial, and strategic matters.
- Support leadership meetings, retreats, and other executive activities.
Project & Strategic Initiative Coordination
- Coordinate and track organizational projects and strategic initiatives.
- Maintain project timelines, action-item trackers, status reports, and deadlines.
- Schedule project meetings and document decisions, assignments, and follow-up items.
- Work collaboratively with departments including Operations, Clinical Services, Finance, Human Resources, Compliance, Quality Improvement, and Grants.
- Assist leadership with implementation and accountability for assigned organizational priorities.
Projects may include:
- HRSA Operational Site Visit preparation
- Quality improvement initiatives
- Patient access initiatives
- Employee engagement projects
- Clinic expansion or operational improvement projects
- Community partnerships
- Grant deliverables
- Policy and procedure implementation
Board & Governance Support
- Coordinate Board of Directors meeting logistics and calendars.
- Prepare, organize, and distribute Board materials.
- Maintain Board records and governance documentation.
- Track Board resolutions, assignments, and follow-up activities.
- Provide administrative support to the CEO and Board Chair as needed.
Organizational Communication
- Assist with executive and organizational communications.
- Coordinate leadership announcements and employee communications.
- Support organizational meetings, events, and leadership activities.
- Assist with newsletters and other internal communication efforts.
Qualifications
Required:
- Associate degree in Business Administration, Healthcare Administration, Public Health, or a related field.
- Minimum of 3 years of executive administrative, project coordination, or comparable professional experience.
- Strong organizational and project-management skills.
- Excellent written and verbal communication skills.
- Strong proficiency with Microsoft Office and/or Google Workspace.
- Ability to manage multiple priorities and deadlines independently.
- Strong attention to detail and follow-through.
- Ability to exercise discretion and maintain confidentiality.
Preferred:
- Bachelor’s degree.
- 3–5 years of experience supporting senior executives.
- Experience working in healthcare, nonprofit, community health, or an FQHC environment.
- Experience supporting a Board of Directors.
- Experience coordinating organizational projects or strategic initiatives.

Salary : $49,150 - $69,186
