Administrative Assistant to the Executive & Global Reach Directors
Churches of God, General Conference (CGGC)
Summary
The Administrative Assistant provides high-level administrative and organizational support to both the Executive Director (ED) and the Director of Global Reach (DGR). This role ensures the effective functioning of CGGC’s executive leadership and Global Reach ministries by managing communications, coordinating meetings and events, overseeing records and databases, and supporting mission initiatives. The ideal candidate will be detail-oriented, highly organized, able to manage multiple priorities, and committed to the mission and values of the Churches of God, General Conference.
Hours/Location
- Full-time (37.5 hours/week with ability to flex up to 40 hours as needed based upon duties).
- Some evenings, weekends, and limited travel are required.
- Work outside of the normal schedule will be communicated in advance.
Compensation
- Paid hourly, bi-monthly.
Accountability
- Reports directly to the Executive Director and Director of Global Reach.
- Performance will be evaluated annually to assess effectiveness and address job concerns.
Qualifications
Experience
- Minimum 4 years of administrative experience with proven success.
- Experience working in cross-cultural or ministry-related settings preferred.
- Strong organizational, problem-solving, and time-management skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, OneDrive), email services (Outlook, Mailchimp), and virtual meeting platforms (Microsoft Teams).
- Experience with databases (Shelby or similar), file management, and communication tools.
- Competence in report preparation, proofreading, and promotional materials.
Education
- Associate degree in office administration, business, or related field preferred (or 4 years relevant experience).
- Higher education in administration, finance, or ministry is an asset.
- Theological understanding compatible with CGGC beliefs and practices.

Key Responsibilities
1. Executive Director Support
- Manage records, correspondence, statistical files, and databases related to churches and pastors.
- Prepare ministry reviews and statistical reports.
- Coordinate logistics for Administrative Council and General Conference sessions, including communication, registration, dockets, and hospitality.
- Assist with ED travel arrangements, project management, retreats, and meetings.
- Support staff meetings by preparing agendas, recording/distributing minutes.
- Update and distribute official manuals (Constitution, Operations Manual, Policy Manual) in coordination with directors.
2. Global Reach Support
- Coordinate mission trips (trip calendars/schedules, logistics, registrations, invoicing, forms, payments, travel arrangements).
- Manage visas, passports, insurance, and prepare expense reporting.
- Manage calendar for DGR and Latino Ministries Director and assist with travel arrangements.
- Maintain donor, sponsorship, and missionary records (Missionary monthly gift listing, Haiti Sister Church partner/donor list, Bangladesh Children of Promise, Bangladesh Child Development program, India Child Development program, India and Bangladesh national pastor program and year-end donor reports).
- Serve as point of contact for missionaries, donors, churches, and affiliates.
- Support deputation trips (travel arrangements and scheduling) and communications for missionaries.
- Oversee Global Reach Commission and related meetings (travel arrangements, logistics, communication, materials and meeting minutes).
3. Finance & Office Administration
- Manage petty cash, office credit cards, vehicle usage, and expense reports.
- Collect and process annual disclosure forms.
- Oversee office operations: office calendar, staff work records, payroll submissions, onboarding, and benefits communication.
- Schedule staff reviews with immediate supervisors.
- Plan and coordinate office social events, building usage, and office arrangements.
4. Communication & Promotion
- Collaborate with communications staff to create and distribute newsletters, updates, prayer cards and promotional content (digital and print).
- Collaborate with communications staff to maintain CGGC and Global Reach website content and giving pages.
- Manage inquiries via phone, email, and mail.
- Send acknowledgments, thank-you cards, and memorial communications as needed.
- Other duties as assigned.
Pay: $20.00 - $22.00 per hour
