Client Services Representative
The Client Services Representative is an essential member of the team, providing comprehensive support to clients and advisors. Key responsibilities include triaging client communications, addressing operational issues, and managing account setup and maintenance. The ideal candidate is detail-oriented, adaptable, and professional, with strong interpersonal skills and the ability to thrive in a dynamic, fast-paced setting.
Essential Job Functions
Advisor Support
· Meet with clients to review new business documents and obtain client and advisor signatures
· Meet with advisor to review instructions when preparing to meet with new clients
· Attend client meetings with advisors to assist in documenting and following up on tasks
· Prepare documents for account opening, transfer of assets, etc.
· Reviewing system for:
o Withdrawals
o Insufficient funds for periodic distributions, including RMDs
o Updated 1099s
o Outgoing transfers
· Handle phone calls, faxes, and emails from clients and take action needed in response to inquiry
· Communicate actions taken to advisor that pertain to him/her directly, and record in Contact Management System (CRM)
· Review the CRM dashboard/tasks daily, and identify items that need to be addressed and handled, confirm the task is completed, and record notes in the CRM
Client Support
· Meeting with clients to:
o Establish online access to financial planning software or other pertinent websites
o Obtain signatures on any changes made that require new documents
· Handle client-initiated requests. These requests include questions and paperwork regarding:
o Financial planning software enrollment or questions
o Establishing ACH instructions for periodic distributions
o Making deposits and taking withdrawals
o Personal information and beneficiary updates
o Cost basis information
o Tax reporting inquiries or issues
· Contact clients with any changes in their accounts
· Document all contact and actions taken with client in CRM
Administrative Support
· Relay important information, timely, in a clear and concise manner to financial advisors, other team members, or external partners
· Work with team members in preparing documents for client signature, returning calls, scheduling appointments
· Address and facilitate client email and mail correspondence
· Process client account paperwork
· Make demographic changes to client accounts when necessary
· Monitor client files for compliance with various regulatory requirements
· Assist with managing lobby traffic and activity, and answering phones
· Answer client inquiries and route to team member if they need further assistance
· Perform general clerical duties including but not limited to photocopying, faxing, scanning, mailing and shipping
· Support team members in assigned project work
Education/Skills/Experience/Traits
· College preferred & job experience is an added advantage
· Series 7, 63, and 65 helpful but not required
· Strong organizational skills with ability to prioritize, be meticulous, and have the ability to multitask
· Personable, approachable, with a positive attitude
· Must be dependable and punctual
· Bilingual preferred but not required
· Exceptional oral & written communication skills
· Ability to learn programs used in industry and familiar with technology
· Able to exercise good judgement by recognizing urgency and setting priorities
· Excellent follow-up and follow-through capabilities
· Must pass a criminal, credit, and background checks
Pay: $22.00 - $28.00 per hour
Expected hours: 40.0 – 45.0 per week
