Position Overview

  • The Customer Service Representative / Receptionist contributes to the success of a high-performing organization committed to delivering superior care and exceptional service. Performs a range of administrative and customer service tasks, providing valuable support to the hospital.

Key Responsibilities

  • Provides excellent customer service in-person, over the phone, and during high-stress situations.
  • Manages lobby flow, addresses concerns, calms distressed owners, and schedules appointments.
  • Handles basic medical emergencies for pets and owners, ensuring safety and well-being.
  • Assists with medication pickups, inquiries, and provides information about services and products.
  • Inputs and manages data in practice management software, including billing and accounts.
  • Assists with retail sales, weighing pets, processing faxes, and maintaining records.
  • Reconciles cash drawer and performs end-of-day duties for accurate financial transactions.

Qualifications (Required)

  • We are looking for a candidate with strong customer service skills.
  • A background in call center work is highly preferred, but experience in any face-to-face customer service role is also valuable.
  • Key qualities include friendliness, empathy, and excellent communication skills.
  • Proficiency in Microsoft Office Suite is required, as the role involves responding to emails and handling customer inquiries in an efficient manner.

Preferred Skills (Nice to Have)

  • Background in animal welfare; previous experience in a veterinary clinic is highly preferred.
  • Familiarity with Cornerstone or other veterinary practice management software.
  • Ability to efficiently schedule doctors' time and manage clinic appointments.
  • Strong communication skills for responding to clients in a friendly and timely manner.

Schedule

  • 7 AM - 6 PM, Monday
  • 8 AM - 5 PM Tuesday-Friday
  • One day off per week, determined by scheduling needs
  • 4-day work week needed, Mondays are mandatory
