Position Overview
- The Customer Service Representative / Receptionist contributes to the success of a high-performing organization committed to delivering superior care and exceptional service. Performs a range of administrative and customer service tasks, providing valuable support to the hospital.
Key Responsibilities
- Provides excellent customer service in-person, over the phone, and during high-stress situations.
- Manages lobby flow, addresses concerns, calms distressed owners, and schedules appointments.
- Handles basic medical emergencies for pets and owners, ensuring safety and well-being.
- Assists with medication pickups, inquiries, and provides information about services and products.
- Inputs and manages data in practice management software, including billing and accounts.
- Assists with retail sales, weighing pets, processing faxes, and maintaining records.
- Reconciles cash drawer and performs end-of-day duties for accurate financial transactions.
Qualifications (Required)
- We are looking for a candidate with strong customer service skills.
- A background in call center work is highly preferred, but experience in any face-to-face customer service role is also valuable.
- Key qualities include friendliness, empathy, and excellent communication skills.
- Proficiency in Microsoft Office Suite is required, as the role involves responding to emails and handling customer inquiries in an efficient manner.
Preferred Skills (Nice to Have)
- Background in animal welfare; previous experience in a veterinary clinic is highly preferred.
- Familiarity with Cornerstone or other veterinary practice management software.
- Ability to efficiently schedule doctors' time and manage clinic appointments.
- Strong communication skills for responding to clients in a friendly and timely manner.
Schedule
- 7 AM - 6 PM, Monday
- 8 AM - 5 PM Tuesday-Friday
- One day off per week, determined by scheduling needs
- 4-day work week needed, Mondays are mandatory
