The Christian Church Capital Area Region is seeking a part-time marketing specialist to serve as a Rental Reservations Agent/Retreat Center Marketer focused on marketing of our Camp and Conference Facility in downtown Bethany Beach, DE for Church Group Retreats. This property has three guest lodges serving up to 80 persons at a time across a full-spectrum of affordable Dorm, Family, and Accessible Rooms, meeting rooms, and audio-visual equipment. Meals in our spacious dining hall are included in most group retreat packages between May and September. One guest building is designed for small group retreats, with its own kitchen, and is available April – October.
Hotel sales and reservations experience is preferred, as this is a key duty. In addition, this position will be responsible for developing marketing plans and materials; identifying customers and reaching out to potential group retreat leaders with site information, retreat date availability, rates, etc.; booking retreats and serving as the primary point of contact for group leaders through arrival and check-in. Post -booking, the agent documents guest counts, room requirements, food allergies, meal requirements, local interests, special needs, etc. for transmittal to the Conference Center Manager, prepares draft and final invoices, verifies payments, and answers policy and procedure questions.
Preference is given to applicants within 10-20 miles of Bethany Beach due to the need to be on-site to welcome Groups (based on pre-scheduled times). Must have Reservations/Booking/Marketing experience, including print and Social Media content development. This is a year-round, part-time, hybrid position; to work from home, the Agent must have stable, high-speed broadband access.
Position requires excellent written and oral communications, problem-solving skills, experience with business email, websites, spreadsheets and databases (Excel, etc.), and be comfortable working with religious groups of all types.
This is a year-round part-time position has three regular components and one occasional component:
1. Marketing our Church Camp & Conference Center facilities (dorms/meeting rooms) to faith-based groups (churches and similar faith-based school and faith-based college groups) for group spiritual retreats through email, social media messaging, and phone calls to PoCs. Most of this can be done remotely on evenings and weekends, with some local travel to speak to group leaders about the Center, if requested.
2. Managing inquiries, bookings/reservations, scheduling groups, producing accurate invoices for lodging and food service, tracking group payments against their required deposits and final payments, obtaining special needs (allergies, accessibility) information, and welcoming the group leaders at the Center upon their arrival to provide check-in support. Other than the required meetings with arriving group leaders for welcome, check-in, information sharing and policy reminders (which need to be done at the Center - some late afternoons, some evenings, some weekends), the reservations management can be done remotely.
3. Pre-arrival Coordination with the Camp and Conference Center Manager for transfer of information on near-term arriving groups, group demographics (guest counts, ages, allergies, special diets, building and room assignments, check-in/check-out dates and times, special requests, upgrades, meeting room requirements, and schedules, etc.). This also includes deconflicting arrival schedules, assisting group leaders to negotiate with each other for shared meeting spaces, handling cancellations, confirming Group Leader contact information, etc., and verifying with CCCA Treasurers that each Group's final payment has been received before check-in day. These tasks can be done remotely.
4. Occasonally, serve as the fill-in Camp and Conference Center Manager for a couple of days when the manager is on leave or at training. Duties would be limited to executing pre-written staff duty schedules and assignments, quality control (checking on dining room and kitchen operations and housekeeping operations), and providing customer services.

- Manage all rental inquiries via central phone/email within one business day
- Maintain contracts, invoices, and retreat group files
- Track guest counts, allergies, and meal requests
- Balance retreat bookings with camp program events; resolve overlaps
Payments & Records
- Calculate rates/discounts, prepare invoices, and process deposits/payments/refunds
- Maintain accurate financial records and safeguard files for audits
- Monitor late payments and enforce fee policies
Pre-Arrival & Sales Support
- Assign rooms, send pre-arrival info, and coordinate logistics with kitchen/host staff
- Troubleshoot guest relations issues proactively
- Explain rates, amenities, and promote meal plan options during peak season
Guest & Arrival Operations
- Coordinate group leader’s arrival details, check-in/out, and room inspections
- Provide emergency contacts, policies, and dining process information
Budget & Planning
- Assist in developing annual marketing budgets and cost estimates
- Collect and report survey/feedback data to management committees
- Provide bi-weekly registration reports and monthly activity/marketing reports
Marketing & Outreach
- Conduct market research to identify target audiences and retreat needs
- Develop and distribute brochures, flyers, newsletters, email campaigns, and web content
- Represent the Center at local/community events and faith-based organizations
- Expand outreach to churches, denominations, and nonprofit groups
Social Media & Web Content
- Maintain social media profiles and retreat rental web pages
- Update content, photos, FAQs, and sample agendas regularly
- Post updates on regional websites and assist with general maintenance
Temporary Back-fill / Fill-in for Conference Center Manager (When Manager is on Leave)
- Monitor Conference Center staff (Kitchen, Housekeeping) duties based on existing schedules
- Manage office (mail, phones, timecards, etc.); coordinate with vendors/service contractors
- Approve kitchen food orders after review of inventory report and menus
- Work with Center staff to avoid, resolve, and mitigate guest issues/concerns
Successful candidate will be issues a CCA-owned business cell phone and a reservations phone number, and a CCCA-owned laptop, email, and Microsoft Account for the term of their employment.
