Church or Parish Administrator

Manages the non-ministerial, business, and operational aspects of the parish, including office management, financial record-keeping, coordinating events, and facilitating communication. This role allows clergy to concentrate on their spiritual and pastoral responsibilities by relieving them of administrative burdens.

Primary Responsibilities:

Financial Administration:

  • Prepare and process money for bank deposits including taking deposits to the bank
  • Pay bills on a regular basis as needed.
  • Manage payroll and the addition of new employees, along with W2’s and 1099s
  • Prepare weekly and monthly financial reports, including reports for vestry meetings
  • Post financial contributions to parishioner accounts in Current Accounting Software-Powerchurch and Tithely as well as managing quarterly and annual pledge reports.

. Keep thorough records and work closely with the Treasurer to ensure transparency and accountability

Office & Facilities Administration:

  • Prepare and print weekly bulletins for Sundays, special services, funerals, weddings, and other events.
  • Order office, cleaning, and worship supplies as needed.

. Coordinating Events-Assist when needed in organizing and managing events within the parish, facilitating smooth execution and participation

. Facilitate Communication-Act as a liaison among staff, clergy, and parishioners to promote effective communication throughout the organization.

  • Support the Rector with various administrative tasks and church-related business.
  • Manage and maintain the master church calendar.
  • Check mail, email, and voicemail daily; respond to inquiries and forward messages as necessary.
  • Facilities- With the assistance of the Jr. Warden, ensure that the physical facilities are well-maintained and adequately meet the needs of the congregation

Communications & Publications:

Send out newsletters, as well as other correspondence as needed, and coordinating as needed with various church groups.

  • Update and maintain the parish website weekly- updating relevant content and event information, including extracting the Sunday sermon from the YouTube Live video.
  • Promote information about upcoming events.

Annual & Periodic Reporting:

  • Maintain and update historical church records, including the red attendance book and registers for baptisms, weddings, deaths, and new members
  • Complete and submit the Parochial Report annually.
  • Coordinate with Treasurer and assist with the parish's annual financial audit.
  • Coordinate with Ministries to support church events and administrative tasks

Qualifications & Skills:

  • High school diploma required; additional coursework or training in office administration, accounting, or communications is a plus. Associate degree preferred.
  • Previous experience in office administration, bookkeeping, and/or church administration preferred.
  • Proficiency with Microsoft 360 (Word, Excel), Gmail/Google, Zoom, and familiarity with church management software (Tithely/Breeze) is desirable.
  • Strong organizational and time management skills

  • Must respect diversity and inclusion.
  • Must be highly motivated and detail-oriented with the ability to organize, prioritize, and meet deadlines.
  • Ability to maintain confidentiality and handle sensitive financial and personal information with discretion.
  • Self-motivated and able to work independently while collaborating with clergy, staff, and volunteers.

Work Environment:

  • This position requires in-person, regular office hours of 8:00 am to 2:00pm. However, those hours may be adjusted slightly as needed with coordination.
