Job Summary
We are seeking a highly organized and detail-oriented Calendar Clerk to join our legal team. In this role, you will manage and coordinate the scheduling of court dates, client meetings, depositions, and other legal appointments. Your proactive approach will ensure that all calendar activities are accurately maintained, conflicts are avoided, and deadlines are met with precision. Responsibilities:
- Maintain and update the firm’s calendar to ensure all deadlines, court appearances, and client meetings are accurately scheduled.
- Coordinate with attorneys, clients, court personnel, and external partners to confirm upcoming appointments, depositions, and court appearances and resolve scheduling conflicts promptly.
- Monitor upcoming deadlines related to estate planning, environmental law, UCC law, family law, securities law, workers' compensation law, personal injury law, patent law, tribal law & regulations, and other practice areas.
- Assist in preparing case files by reviewing documents for accuracy and completeness; support document review processes including proofreading and transcription tasks.
- Organize and maintain electronic files in legal case management systems; ensure proper filing of documents such as pleadings, correspondence, and court filings.
- Provide executive administrative support by managing phone etiquette, organizing meetings via calendar invites, and handling administrative tasks related to litigation and client services.
- Performs other duties as assigned.
Qualifications:
- High school diploma or equivalent, Bachelor’s degree required or.
- 2-5 years of clerical or administrative experience within a law office or legal environment; calendar clerk experience is highly preferred.
- Experience using NYSCEF and familiarity with New York State court procedures preferred
- Strong organizational skills with the ability to manage multiple priorities efficiently while maintaining accuracy under tight deadlines.
- Bilingual/Spanish speaking is a plus.
- Excellent proofreading and writing skills for reviewing documents and correspondence.
- Proven ability to handle confidential information discreetly with high ethical standards.
- Effective communication skills for coordinating with attorneys, clients, courts, and external agencies.
The expected salary range for this position is $55,000 - $65,000. Final compensation will be determined based on several factors, including but not limited to, relevant experience, qualifications and skill set.
