Busy outpatient physical therapy practice seeking a passionate and driven employee to join our dedicated team. The Medical Office Manager plays a critical role in supporting the daily operations. This position oversees front-desk workflow, ensures exceptional patient experience, provides administrative leadership, and serves as the primary resource for the Patient Service Specialist team.
- Provide day-to-day leadership, coaching, and support for the Patient Service Specialist team.
- Coordinate daily staffing, break schedules, and workflow assignments to ensure adequate coverage.
- Train new PSS team members and provide ongoing development, mentoring, and performance feedback.
- Model and ensure delivery of exceptional, compassionate service to all patients and visitors.
- Resolve patient concerns, scheduling conflicts, and escalated service issues with professionalism.
- Oversee appointment scheduling, insurance verification, authorizations, and check-in/check-out processes.
- Monitor registration accuracy, copay collection, and end-of-day reconciliation. Interface with Billing Team, and assist with Billing and collection tasks as needed.
- Assist in practice marketing, social media, and staff recruiting (therapists and admin associates) as needed.
- Act as the communication link between the PSS team, clinicians, and administrative leadership.
- Participate in operational meetings and assist with implementing workflow changes.
- Ensure HIPAA compliance and maintain confidentiality in all patient interactions.
- Support quality improvement initiatives and documentation accuracy.
REQUIREMENTS:
- One or more years of supervisory experience
- Excellent customer service skills
- Previous knowledge/work history in the medical industry a plus
- Ability to be analytical and multi-task
- Ability to work with little supervision
- Self-motivated enthusiastic presence in a team environment
- Strong written and communication skills
- Minimum Associate’s degree in Accounting/Finance/Business or Sports or Healthcare Management or equivalent required
- Medical Billing/Coding knowledge helpful

Pay: $25.00 - $30.00 per hour
