Office manager /Order Processer / Accounting Entry

This position includes ensuring timely and accurate entry of orders into software system. Focus on accuracy and quality control of the order throughout the processing life cycle....from order entry to delivery of final product. You will be responsible to make sure delays are kept to a minimum.

This position will be entering all orders in company software, placing orders for inventory, creating positive relationships with suppliers, at times will need to answer incoming calls.

Must haves:

1. Organization skills are a most important. All orders flow through this position. If inaccurate information is entered...all other departments and customers will suffer.

2. Communication skills with customers, Sales Agents, and all production departments to ensure accurate order completion.

3. Finalize invoicing and other clerical duties surrounding the order processing life cycle.

4. Perform other operational duties as assigned. This would include (receiving) checking in products that have been ordered for jobs.

This position will take orders from customers and sales agents and input information into the company's software system.

Job Duties

- Work a standard 40-hour week. Take orders directly from sales agents and customers over the phone, online, through email or verbally.

- Bill customers for goods and services rendered. Gather, calculate and record invoicing, accounting and other numerical data for billing purposes.

- Close communication with production to insure all oerders are fulfilled correctly and on time.

- Order supplies and apparel from vendors and ensure materials are delivered and on time. Verify their receipt. Establish a friendly professional relationship with suppliers and vendors. Negotiate best pricing and close relationship with vendors.

- Complete order forms, prepare purchase orders, compile information for workers, art department, production staff, sales and receiving. Inform staff of delivery dates or back order status of materials ordered for jobs.

Requirements:

- Attention to detail and the ability to work accurately and meet due dates..

- High school diploma or GED is highly recommended. Experience in data processing or related business experience business is very helpful.

- Working knowledge of internet, inventory, order management, process software and order processing systems.

- Computer experience is essential. Order processors should be familiar with software programs.

- Must be detaild and self-motivated.

- Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.

- Must learn and have a thorough knowledge of all products used as well as a good working relationship with vendors, suppliers and clients.

- Have verbal and written articulation skills.

- Interpersonal skills to develop and maintain professional working relationships with suppliers, vendors, co-workers and clients. Ability to communicate effectively with customers, co-workers and supervisors in a professional and courteous manner.

- Organizational and communication skills a must to insure adequate systems are utilized to maintain and track all required information associated with the ordering and production process.

- Follow instructions; responds well to management direction; takes responsibility, keeps commitment.

- Occasionally lift and/or move up to 25 pounds.
