CHIPPEWA COUNTY FRIEND OF THE COURT
POSITION: DATA ENTRY CLERK/FINANCIALS WORKER
Reports to: Office Manager
Grade Level 8
ESSENTIAL JOB DUTIES AND RESPONSIBILITIES
The intent of this job description is to provide a representative summary of the major duties and responsibilities performed by employees in this job. Employees may be requested to perform job-related tasks other than those specifically presented in this description.
Provides professional customer service to visitors, clients, judges, attorneys, and staff.
Answers telephone and greets clients/visitors/attorneys providing information, assistance, and direction; takes and relays messages.
Generates, researches, and processes suspense reports. Generates 307 form to state when appropriate; performs manual refunds, manual allocation, and distribution; Monitors Michigan SDU payment holds, and non-sufficient funds reports daily.
Receives, processes, and properly routes office mail, transports office mail to post office or mailbox as appropriate.
Monitors and order supplies; checks in supplies; submits claims for supplies. Maintains invoice records and supply orders. Maintains files for all vendor and supply orders. Obtains quotes from vendors.
Sets and releases holds on accounts as appropriate.
Maintains records for processing fees, service fees, copy fees, bench warrant, fees, and internet banking fees. Prepares transmittals for fees weekly and deposits same with County Treasurer.
Enters financial information into the computer system for purposes of generating child support recommendations; mails recommendations to clients and attorneys; monitors recommendations for objections; prints completed orders for FOC and Judge’s signature; mails signed orders to clients and attorneys; files with clerk.
Maintains files and filing systems.
Initiates and monitors all child support reviews in computer system.
Reviews and processes all case questionnaires; reviews incoming paperwork for addresses, new employers, etc; updates computer system with information; issues employer status disclosures; follows up with clients when additional paperwork is needed.
Processes returned mail; verifies mailing address in computer system; contacts clients for updated contact information; reviews computer system for new address downloads and verifies new downloads via postmaster letter or employer information request; investigates addresses using internet sites listed on MiSupport; refers to enforcement officer for investigation after exhausting previously noted methods of address verification.
Generate histories and end of year statements for clients upon request and provides via mail or in person; tracks to ensure clients receive no more than one free history per year; provides clients information on how to obtain histories and end of year statements online; collects and processes fees as appropriate; Prepares payee status letters and no case letters and provides same to clients via mail or in person upon request.
Processes case closure report monthly; closes cases in the system as appropriate.
Balances cash drawer, deposits funds at bank, wire transfers funds to MiSDU.
Petty cashier.
Prepares new child support orders for incarcerated payors.
Attends conferences, meetings, and trainings to remain current on matters related to child support establishment and enforcement; attends and documents attendance at all required quarterly and annual trainings related to confidentiality and security, MICSES, and customer service.
Performs necessary job functions in the absence of fellow staff members.
Performs other duties as assigned.
MINIMUM QUALIFICATIONS
Employment Qualifications
Highschool diploma or GED. Post-secondary education preferred. Must have prior experience in a general office environment, including typing, telephone, and computer skills. A minimum of one-year experience in child support or other domestic relations activities preferred.
Must pass a criminal background investigation and a Child Abuse/Neglect Central Registry clearance to be considered for employment with the Friend of the Court.
Must be able to work independently with minimal supervision.
Skills and Abilities
Excellent customer service skills.
Knowledge, experience, and proficiency with computers, including Microsoft Office, Google applications, and other related computer applications.
Ability to make mathematical computations rapidly and accurately.
Ability to maintain clerical records and to prepare reports from such records.
Ability to understand and follow written and oral directions.
Organizational ability and initiative.
Ability to establish and maintain effective work relationships with county officials, staff, co-workers, and the public.
Physical Requirements
Ability to operate a variety of automated office machines including computer, copier, telephone system, fax machine, etc.; ability to coordinate hands and eyes in using automated office equipment; ability to operate a computer utilizing word processing, spreadsheet, database, internet, and other software application.
