Job Description

Reports to: Operations Manager

Primary Purpose

The Administrative Assistant plays a critical role in maintaining smooth day-to-day operations within the office. This position primarily supports the Administrative Lead through recurring administrative responsibilities while also assisting the Operations Manager with a variety of tasks that may change daily. The ideal candidate is detail-oriented, highly organized, and comfortable handling a variety of tasks, from data entry and recordkeeping to managing supplies, coordinating office needs, takes initiative, and can independently balance multiple responsibilities with precision and professionalism.

Essential Functions

The essential functions include, but are not limited to, the following:

  • Answer, screen, and redirect incoming calls.
  • Receive, sort, and distribute company mail.
  • Run local errands as needed (e.g., checks, supply runs).
  • Perform accurate and timely data entry in CRM and other business systems.
  • Process customer credit requests and credit card payments, including authorizations for shipping and updating CRM records.
  • Prepare, scan, and file documents in accordance with company procedures.
  • Complete vendor forms and maintain organized records.
  • Order and maintain inventory of office and facility supplies.
  • Help plan and coordinate internal travels, projects and events.
  • Act as point of contact for building-related needs, including coordinating repairs and maintenance with vendors.
  • Provide clerical and project-based assistance to the Operations Manager.
  • Support process-driven tasks that may vary daily, requiring adaptability and initiative.
  • Perform other duties as assigned to support the company’s operational needs.

Physical Requirements

  • Frequent sitting; occasional stooping, bending, kneeling, crouching, reaching, and twisting.
  • Must be able to lift up to 50 pounds.
  • Ability to carry, push, and/or pull light to moderate amounts of weight.
  • Frequent use of office equipment requiring repetitive hand movement and fine coordination, including keyboard and mouse.
  • Ability to verbally communicate effectively and exchange information.
  • Visual and auditory abilities within normal range (with or without correction).
