ChildrenFirst Health Care System, Central Florida’s premier provider of pediatric home care services, is seeking a highly skilled, detail-driven Administrative Assistant to support critical healthcare operations. This is a high-functioning role responsible for managing authorizations, CMNs, patient coordination, and operational tracking in a fast-paced, high-volume environment.
Key Responsibilities
Manage insurance authorizations, reauthorizations, and follow-ups to ensure continuity of care
Prepare and track CMNs and required physician documentation
Communicate regularly with physicians, support coordinators, referral sources, and patient families regarding services and documentation needs
Participate in case conference calls with support coordinators and interdisciplinary teams to support patient care planning
Serve as a point of contact for parents of medically complex and fragile children, providing clear, professional, and compassionate communication
Maintain detailed Excel trackers to monitor authorizations, expirations, and outstanding items
Identify gaps in documentation or approvals and proactively follow up to resolve issues
Ensure all records are accurate, complete, and audit-ready
Coordinate across teams to support timely patient onboarding and service delivery
Qualifications
2 years of recent administrative experience in a healthcare setting (required)
Experience with insurance authorizations, CMNs, or similar documentation workflows preferred
Strong Excel skills (tracking, organizing, and managing high-volume data)
Excellent communication skills with the ability to interact professionally and compassionately with physicians, care teams, and families
Ability to manage multiple priorities with speed, accuracy, and follow-through
Highly organized, proactive, and solutions-oriented
Dependable with a strong sense of ownership and accountability
Non-smoker
