As New England’s largest Black owned and operated nonprofit agency, Children’s Services of Roxbury is a dynamic, mission-driven agency dedicated to bringing peace of mind to Massachusetts’ most vulnerable families, providing housing for homeless families, affordable childcare, children’s mental health services, intensive foster care, and youth development programs. We are seeking a highly organized, proactive, and experienced Executive Assistant to provide dedicated support to our President and CEO. Position Overview: As the Executive Assistant to the President, you will be responsible for managing the President’s calendar, coordinating high-level meetings, and serving as a primary point of contact for internal and external stakeholders. The ideal candidate is a proactive, highly organized individual with 4 to 5 years of experience supporting C-suite executives, excellent communication skills, and a passion for contributing to a mission-driven environment. You will thrive in a fast-paced environment and excel in balancing multiple priorities while maintaining a high level of professionalism.

Essential Duties & Responsibilities: The President and CEO may designate various other activities, therefore, the following is not an exhaustive list of all responsibilities, duties and skills required of personnel so classified.

Key Responsibilities

  • Calendar & Schedule Management: Manage the CEO's calendar, scheduling meetings, travel, and appointments, ensuring time management efficiency.
  • Communication & Correspondence: Act as a liaison between the CEO and internal/external stakeholders, ensuring timely and professional communication on behalf of the CEO.
  • Meeting & Event Coordination: Plan and coordinate meetings, conferences, and special events, including preparing agendas, materials, and taking meeting minutes.
  • Project Management: Assist with the tracking and execution of special projects as directed by the CEO, ensuring deadlines are met and objectives are achieved.
  • Document Management & Reporting: Prepare reports, presentations, and other documents for meetings and board updates.
  • Budget Management: Expenditure tracking against budget for the CEO's office.
  • Technology Savvy: Utilize various software and tools to streamline work processes, including scheduling, document management, and communication platforms.
  • Confidentiality & Discretion: Handle sensitive and confidential information with the highest level of professionalism and integrity.
  • Proactive Problem-Solving: Anticipate the needs of the CEO and proactively address potential issues or challenges before they arise.
  • Support Team Dynamics: Assist other senior team members as needed to ensure smooth internal operations and effective cross-team collaboration.
  • Performs other duties as needed or as directed.

Education/ Experience

  • Undergraduate degree in Administration, Business, or related field required.
  • 4-5 years of experience providing C-suite level support.
  • Proven ability to work independently and manage multiple priorities simultaneously.
  • Exceptional organizational skills and impeccable attention to detail.
  • Highly organized and proactive, able to anticipate needs and respond quickly to changing priorities.
  • Excellent verbal communication skills.
  • Proficient writer with experience taking board meeting notes.
  • Strong proficiency with office software (Microsoft Office Suite, Google Workspace, and other tools) and technology platforms.
  • Seasoned, professional, and assertive demeanor with the ability to handle diverse groups of people, including Board members, senior executives, staff, community leaders, donors, and partners organizations.
  • Flexible with experience managing up.
  • Discretion and ability to maintain confidentiality.
  • Experience working in a non-profit environment is a plus but not required.

Salary : $70,000 - $83,000
