Position Overview
The Dental Front Office Supervisor is responsible for overseeing all aspects of front office operations, including patient experience, team leadership, scheduling efficiency, and financial performance. This role works closely with the corporate leadership team to ensure alignment with company standards, systems, and growth initiatives.
Key ResponsibilitiesLeadership & Operations
- Lead, coach, and develop front office team members to meet performance expectations
- Oversee daily operations to ensure a smooth, efficient, and patient-focused workflow
- Maintain a high standard of professionalism, accountability, and team culture
- Identify operational gaps and implement solutions to improve performance
Patient Experience & Communication
- Ensure exceptional patient service from first contact through treatment completion
- Manage appointment flow, confirmations, cancellations, and schedule optimization
- Address patient concerns promptly and professionally to ensure satisfaction
- Support treatment plan presentation and case acceptance
Revenue Cycle & Performance
- Oversee insurance verification, billing accuracy, and collections processes
- Monitor accounts receivable and implement strategies to improve cash flow
- Run, analyze, and act on key performance reports and KPIs
- Support growth initiatives and patient acquisition strategies
Compliance & Administration
- Ensure compliance with all company policies, HIPAA regulations, and dental board standards
- Maintain accurate and secure patient records
- Oversee staff scheduling to ensure appropriate coverage
- Manage supply ordering and office organization
Team Development
- Train, mentor, and hold team members accountable to performance standards
- Participate in hiring, performance evaluations, and corrective actions
- Foster a positive, solutions-oriented team environment
Qualifications
- Minimum 3–5 years of dental front office experience, with management or supervisory experience preferred
- Experience in pediatric and/or orthodontic settings strongly preferred
- Proficiency in dental practice management software (Dentrix preferred)
- Strong understanding of insurance, billing, and collections workflows
- Excellent communication, leadership, and problem-solving skills
- Proficiency in Microsoft Office (Excel, Word, Outlook)
