The Clinic Operations Supervisor (CNPA) will participate to plan, implement, supervise, and evaluate service/department activities for Children's Pediatricians & Associates, LLC in accordance with accepted national standards and administrative policies. The Clinic Operations Supervisor (CNPA) will also be responsible to perform a variety of moderately complex patient care and administrative tasks to support providers, patients and staff. Will assist in the delivery of primary health care and patient care management including to coordinate patient referrals and workflow processes for the administrative and medical assistant staff. The Clinic Operations Supervisor (CNPA) will be able to work independently with minimum supervision and will assist the manager in daily operations of workflow processes.

Minimum Education

Bachelor's Degree Graduate from a Medical Assistant Training Program. Bachelor’s Degree or 5 years of equivalent Supervisory Experience (Required)

Minimum Work Experience

5 years Supervisory experience required, and experience with EMR process. (Required)

At least 3 years of related and progressive experience as a Medical Assistant. Health care experience preferred.

Functional Accountabilities

Medical Assistant Supervisor

  • Implement the department's goals through efficient management of day-to-day operations of the health center; troubleshoot operational issues and develop action plans to resolve.
  • Collaborate with health center management team on significant operational issues/barriers; assist manager and/or management team in development, implementation and evaluation of services, programs, policies and procedures, and performance standards to achieve departmental goals.
  • Ensure accuracy of the registration process by health center staff; ensure compliance with VFC guidelines; maintain high Time-of-Service collections.
  • Implement training and testing for all PSR and MA staff members to ensure appropriate skill set; ensure Huddles to keep all staff informed of workflow processes; ensure PCMH workflow processes; lead monthly team meetings with all staff and providers to work toward monthly goals and identify action plans from these meetings for the entire team.
  • Ensure vaccine inventory is performed weekly and vaccine storage and handling protocol are followed.
  • Monitor patient flow and fill in where needed to improve productivity.

Clinical Duties

  • Clean exam and treatment rooms before and after patient encounter; prepare patients for examination and treatment; measure vital signs and document; instruct patient in complex testing requirements and medical procedures; able to recognize urgent patient problems and or emergencies and address the patient’s situation with the MD and or manager.
  • Review electronic health record for immunizations, labs, consults and other reports; administer vaccines, medications and treatments as prescribed by provider; perform vaccine inventory, vaccine storage and handling of all vaccine products and report to assigned staff; complete requests for school and medication forms; assist providers with management of patient allergies, medications and history.
  • Respond to patient requests for lab results, prescriptions, immunization history, etc.; oversee the follow-up process for lab results and instructions per provider; process lab referrals within electronic health records.
  • Organize and maintain medical supplies and equipment.
  • Provide guidance to other staff members and make recommendations to manager; serve as a resource for patient related communications as defined by PCMH workflow;
  • Attend meetings as required and participate in committees as requested.

Quality Control and Performance Improvement Initiatives

  • Implement monthly customer satisfaction surveys and work with manager/management team to make improvements as indicated by survey results.
  • Review registration and eligibility denials and provide feedback to staff to maintain denials below 10%.
  • Participate in performance improvement initiatives as identified by management team.
  • Conduct quality control measures for patient care process.

Human Resource Management

  • Supervise, train and mentor the administrative and MA team.
  • Conduct performance evaluations and manage staff performance goals.
  • Perform any disciplinary action as needed.
  • Establish work schedules for PSR and MA staff.

Administrative Tasks

  • Ensure invoice submission to Accounts Payable for processing payments to vendors.
  • Perform administrative tasks such as time records, vacation requests, requisition and OCR entry into Bear Finance.
  • Assist with phone calls and respond to patient requests.
  • Process patients through the check in/out workflow.
  • Conduct insurance verification.
  • Monitor the ordering of office supplies and other tasks as necessary.
