Under the direction of the Program Manager, the Program Coordinator will provide coordination and oversight for the Children’s Fund Emergency Needs Program, special events, and other agency prioritized special projects while maintaining an absolute adherence to the mission, procedures, and policies of

Children’s Fund. The Program Coordinator will work together with the Program Team to ensure timely processing of Emergency Needs requests as well as effective special event coordination. The Program Coordinator will maintain strong relationships with case managers, county departments, non-profit organizations, and other Children’s Fund partners.

The Program Coordinator must have exceptionally strong communication, project management, teamwork, and collaboration skills. As a frontline contact for children in need and a constant representative of

Children’s Fund, the Program Coordinator must be passionate about community service and aiding at-risk children, and most importantly, able to articulate that passion in a manner that inspires others.

Specific duties include, but are not limited to:

Essential Functions:

1. Primary lead in the fulfillment of Emergency Needs Program activities as defined by the President/CEO and the Board of Directors, while coordinating with the county department’s case managers and other agencies, ensuring that fulfillment is carried out in an ethical, professional, effective, and efficient manner.

2. Provide evaluation and quality control of the delivery of all services provided through the Emergency Needs Program (i.e., reporting of fulfillment, filing of referrals, and monthly reconciliation of resources) while maintaining accurate records and complying with internal guidelines and requirements.

3. Coordinate the planning and implementation of special events and activities. Execute projects and program components weekly/monthly/annually (i.e., Celebration of Giving, school supplies, backpacks, and distribution of in-kind items, etc.).

4. Prepare and maintain all program reports for tracking the Emergency Needs Program (i.e., programs database, spreadsheets, referrals, logs, correspondence, and client servicer referral database portal) in order to provide up-to-date information, statistical data, and reporting in accordance with established guidelines.

5. Compile and analyze basic program information.

6. Share appropriate information regarding cases with the internal Development Department to add to Children’s Fund’s Story Bank. Capture and collect impact and success stories, thank you notes/cards and updates to reflect the successful fulfillment of Emergency Needs, and involvement with events and activities. Manage incoming correspondence from families and case managers

served by Children’s Fund.

7. Establish and maintain effective working relationships with County agencies and community-based organizations’ case managers. As needed, attend site visits with the Program Manager to gain an understanding of resources and services provided, and populations served by current and new partner agencies.

8. Maintain an updated case managers and agency list in conjunction with the Program Manager. Ensure approved agencies are trained and set up as current users of the client service referral database portal.

9. Represent Children’s Fund at events as appropriate. Attend community-based meetings, training, and conferences that may be relevant and will contribute to the success of the Program Department as assigned and approved by the Program Manager.

10. Maintain the confidentiality of the organization and the individuals we serve.

11. Other tasks as assigned.

Qualifications:

  • Written and verbal communication skills.
  • Interpersonal and professional presentation skills.
  • Planning, organizing, and strong project management skills.
  • Experience in dealing with matters of extreme confidentiality, consistently in a friendly and professional manner.
  • Ability to successfully handle multiple simultaneous deadlines, set priorities, and develop innovative recommendations and solutions to problems.
  • Self-starter needing minimum supervision.
  • Proficiency in office-related software (Outlook, Word, PowerPoint, Excel), typing skills, and other general office knowledge.
  • Understanding of fundraising methods and principles preferred.
  • Understanding of County services and public aid options, as well as eligibility and process requirements, preferred.
  • Four-year college degree, or equivalent experience, preferred.

  • Must be able to remain in a stationary position (sit or stand) two-thirds of the day or more.
  • Occasional travel to various locations, meetings and events within and outside the county, and typically via automobile, is required. Mobility is required to attend meetings and events.
  • Finger dexterity is needed to access, enter, and retrieve data using a computer keyboard, typewriter, or calculator and to operate standard office equipment.
  • The position occasionally bends, stoops, reaches, pushes, and pulls drawers, to retrieve and file information. Frequently moves, transports, and organizes in-kind donations, merchandise, supplies, and event materials, including items that may weigh around 40 pounds or more, in support of donation drives, campaigns, and special events.
  • Employees must be able to maintain regular and predictable attendance and punctuality.
  • The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. Noise levels can vary, depending on programming and events. While performing this job, the employee is exposed to weather

conditions prevalent at the time with respect to both indoor and outdoor environments and event. Temperature levels may include hot, cold, and mild.
