Critical Action Items
- Support the Philanthropy Team with day-to-day administrative and operational needs.
- Coordinate donor engagement for the CEO and Chief Development Officer (CDO), including travel, meetings, and follow-ups.
- Manage business processes like procurement, vendor selection, and contract approvals.
- Support budget planning and vendor relationship management.
- Plan and manage events, retreats, and workshops.
- Maintain CRM documentation and support cross-departmental communications.
- Identify and improve operational inefficiencies.
- Coordinate hospitality for internal and external visitors.
Gifts Processing
- Accurately record and process all incoming donations (checks, online gifts, wire transfers, etc.) in the donor database and accounting systems.
- Ensure timely and accurate reconciliation of gift records with finance systems.
- Maintain confidentiality and data integrity in all donor transactions.
- Generate and send personalized donor acknowledgements and tax receipts in a timely manner. This is an ABOVE AND BEYOND expectation of personalization and immediate.
- Collaborate with the Development team to ensure acknowledgements reflect donor impact and organizational voice.
- Track and report on acknowledgement timelines and completion rates.
- Serve as the primary point of contact between Development and Finance for gift-related transactions.
- Coordinate monthly reconciliation meetings and resolve discrepancies.
- Support Finance team with documentation and reporting related to donor revenue.
- Assist with journal entries, account coding, and documentation for donor-related revenue.
- Support audits and financial reviews by preparing relevant donor and transaction records.
- Maintain organized records of all financial correspondence and documentation.
- Exceptional Communication Skills: Superior verbal and written communication abilities, with the capacity to clearly convey concepts, engage stakeholders, and inspire action to include editing skills, including grammar and punctuation.
- Cultural Intelligence: Experience working across diverse cultures and backgrounds, with a passion for empowering global communities while maintaining discretion with sensitive donor data.
- Highly collaborative, well organized, detail-oriented, creative, and inquisitive with excellent project coordination, and able to work in a fast and dynamic environment with many stakeholders.
- Proficiency in software tools including Salesforce, Microsoft Word, Excel, PowerPoint.
- Valid state driver’s license with a clear driving record.
- Clear criminal background check.
