A Brief Overview
The Patient Access Quality Assurance Specialist ensures accuracy and excellence in registration and scheduling processes. This role involves conducting audits of patient registrations, appointment scheduling, and financial clearance processes. The QA Specialist is also responsible for analyzing data to identify trends, recommend improvements, and support the Patient Access and Scheduling teams in achieving high standards of accuracy and compliance.

Essential Functions

  • Auditing and Quality Assurance 
    • Perform routine and targeted audits of patient registrations, scheduling records, and financial clearance data for accuracy and completeness. 
    • Conduct blind audits to objectively assess process quality and adherence to hospital policies. 
    • Review recorded phone calls to evaluate customer service, compliance, and accuracy in patient interactions.
  • Data Analysis and Reporting 
    • Analyze audit results to identify trends, recurring errors, and opportunities for process improvement. 
    • Prepare detailed quality reports and dashboards to share findings with Patient Access and Scheduling leadership. 
    • Collaborate with leadership to develop and implement quality improvement initiatives based on data insights.
  • Compliance Monitoring 
    • Ensure that all registration, scheduling, and financial clearance activities comply with hospital policies, HIPAA regulations, and other relevant standards. 
    • Identify and report compliance risks and recommend corrective actions to mitigate them.
  • Collaboration and Communication 
    • Work Closely with Patient Access and Scheduling leadership to align quality assurance activities with departmental goals. 
    • Participates in interdisciplinary meetings to share audit findings and contribute to hospital-wide quality initiatives.
  • Process Improvement 
    • Recommend workflow enhancements to improve the accuracy and efficiency of registration, scheduling, and financial clearance process. 
    • Collaborate on system enhancements and updates to the EHR or scheduling platforms to improve data integrity.
  •  Standard business hours with occasional flexibility required for special projects or deadlines.
  • Collaboration with a dynamic team in a fast-paced healthcare setting.


Education Qualifications

  • High School Diploma   Required

Experience Qualifications

  • 1 year experience in patient registration, scheduling, or a related role, with demonstrated attention to detail and quality. Required

Skills and Abilities

  • Strong analytical skills and attention to detail for identifying discrepancies and trends. (High proficiency)
  • Excellent communication skills for delivering quality analysis data to leadership. (High proficiency)
  • Ability to work independently and manage multiple tasks in a deadline-driven environment. (High proficiency)
  • Commitment to fostering a culture of quality and continuous improvement. (High proficiency)
  • Proficiency in EHR systems and familiarity with auditing and reporting tools. (High proficiency)
  •  Knowledge of healthcare insurance processes and regulatory requirements. (High proficiency)
