Job Description Summary
The Venture Coordinator will be responsible for coordinating all aspects of Venture Trips to the Caribbean and Africa through Children of the Nations’ Venture Program. The Venture Coordinator will ensure that all trip logistics have been completed, participants are fully equipped and prepared to travel in-country as well as facilitate proper follow-up and re-entry procedures with trip participants. The Venture Coordinator will use Venture Standard Operating Procedures and work with the Venture staff in each of COTN’s countries to prepare for the arrival and duration of stay for each team.

Job Description Detail
- Manage and coordinate teams assigned to you using the Venture Department Standard Operating Procedures (SOP). Utilize Coordinator Checklist and implement its various stages:
- Create the year’s calendars, checklists, and project library.
- Schedule the following year’s teams.
- Approve team leaders.
- Create team pages using Managed Missions.
- Send welcome documents and training materials to team leaders.
- Oversee registration and team fundraising pages. Set tasks in Managed Missions for signing all documentation, uploading passports, uploading other needed specialty documentation, and completing background checks.
- Set expectations for training and trip preparation with team leader.
- Work with COTN’s travel agent to book flights.
- Ensure knowledge of in-country projects and help determine the focus of a trip with team leaders. Update project library when projects are chosen.
- Work with Venture Manager to provide training and coaching to team leaders.
- Create travel reports for all teams to communicate trip details with implementing staff.
- Coordinate with implementing Venture Coordinators to prepare for teams via e-mail, WhatsApp, and/or Microsoft Teams.
- Review all team schedules for accuracy.
- Purchase travel insurance for all travelers.
- Provide Visa application instructions and any needed documentation to obtain a Visa.
- Track team funds and create team invoices.
- Mailing final steps folder.
- Send canned follow-up emails.
- Review surveys and consolidate feedback and share with appropriate staff.
- Provide invitation for further involvement or connect team back to Community Development Rep.
- Staff Travel: Follow the Staff Travel Standard Operating Procedures (SOP), provide manual, missionary letters, and travel insurance.
- Vision Teams and Major Partners: Coordinate all normal travel logistics for these teams in addition to working with our Advancement team to prepare them for their time in country.
