About This Role
The Financial Operations Specialist plays a key role in supporting and coordinating financial operations projects that drive organizational efficiency, data integrity, and high‑quality donor experiences. This position is responsible for maintaining accurate financial workflows, strengthening stakeholder relationships, and ensuring timely, compliant financial processing. Based on business needs, the role may also support transaction processing, financial analysis, and reconciliation activities. In addition, the Specialist contributes to internal controls, supports compliance requirements, and provides guidance and training to team members on financial procedures and systems.
This is a full-time, hybrid position based in Richmond, Virginia. Remote candidates who meet all preferred qualifications may be considered. Candidates must have current residence and work authorization in the United States to be eligible. The anticipated salary range is $50,000-$60,000.
Required Experience and Education
- Bachelor’s degree or equivalent combination of education and experience.
- At least 5 years of experience in marketing, nonprofit, fundraising, or business operations, with exposure to customer-facing and/or donor support environments.
- Proven record of meeting or exceeding quality, productivity, and revenue targets.
- Experience with SQL or demonstrated comfort learning querying tools (strongly preferred).
Primary Responsibilities
- Partner with Finance & Enterprise teams and IT on Salesforce development, enhancements, and acquisitions-related workflow changes, ensuring accurate data input, reporting, and reconciliation.
- Execute daily batch transactions—including adjustments, wire payments, and refunds—while collaborating with Treasury to troubleshoot issues and maintain financial accuracy.
- Support the creation, review, and continuous enhancement of Financial Operations procedures to strengthen operational efficiency, consistency, and audit readiness.
- Process matching gifts and workplace giving contributions, including donor verification, inquiry resolution, and coordination with vendors and third‑party partners to ensure timely and accurate outcomes.
- Manage Benevity and other specialty third‑party distributions, ensuring accurate soft‑crediting, donor record integration, and system reconciliation across financial and CRM platforms.
- Respond promptly to inquiries from donors, partners, and cross‑functional teams, providing clear guidance related to workplace giving and third‑party funds.
- Perform accurate data entry, research, and maintenance of partner organizations and donor profiles to ensure data integrity and proper financial attribution.
- Partner with IT, Treasury, and Acquisitions teams to share findings, identify issues, and develop solutions that enhance financial operations.
- Lead multiple complex projects, campaigns, or workflows—including documentation, testing, data validation, continuous improvement, risk and issue management, escalations, dashboard reporting, quality reviews, and training.
- Serve as the primary resource for workflow-related questions and provide subject‑matter expertise to internal partners.
- Identify and implement enhancements to improve accuracy, efficiency, and consistency in financial operations, including recommending workflow changes and supporting system optimization efforts.
- Investigate and resolve donor account escalations, ensuring timely adjustments, accurate financial records, and adherence to internal controls and service standards.
- Conduct donor outreach campaigns using digital tools (email, auto‑dial, etc.) to resolve account discrepancies, ensure timely processing, and support donor satisfaction through clear and empathetic communication.
- Engage in collaborative quality reviews and training sessions, giving and receiving peer feedback on call handling and operational processes.
- Demonstrate strong digital fluency and the ability to navigate multiple systems and tools simultaneously.
- Independently draft clear, professional communications to sponsors and donors, explaining complex situations in a concise and accessible manner.
