Position Summary:
The Finance & Compliance Coordinator plays a critical role in supporting the Executive Director and ensuring the organization operates with strong financial systems, organized documentation, and full compliance readiness.
This position is responsible for managing financial processes, maintaining audit-ready systems, supporting HR administration, and strengthening organizational infrastructure. This is a detail-driven role that requires strong ownership, organization, and the ability to manage multiple systems simultaneously.
Key Responsibilities:
Financial Systems
- Process accounts payable and invoices
- Perform credit card reconciliations
- Track budgets and expenditures
- Maintain accurate financial records and documentation
HR & Compliance Systems
- Maintain audit-ready files
- Track certifications, trainings, and compliance requirements
- Support benefits and insurance administration
- Track workers’ compensation documentation
Compliance & Documentation
- Support maintaining licensing and contract compliance documentation
- Support audit preparation and monitoring visits
- Ensure all systems are organized, current, and accessible
Grants & Development Support
- Track grant deadlines and requirements
- Assist with grant drafting and responses
- Support donor tracking and communications
- Prepare donor thank-you letters and newsletters
Administrative Systems
- Maintain organized digital filing systems
- Support data entry and reporting
- Assist with website updates, social media, and communications
HR Process Support
- Assist with hiring logistics (job postings, interview scheduling)
- Support filling paperwork and processes
- Track employee training completion and compliance
Systems & SOP Development
- Create and maintain standard operating procedures (SOPs)
- Build systems for cross-training and consistency
- Identify and improve administrative workflows
Qualifications
- Strong attention to detail and exceptional organizational skills
- Experience managing financial tracking and administrative systems
- Proficiency in Google Workspace, Excel, and other digital systems
- Experience with AI tools (such as ChatGPT) preferred
Required Experience
- 3–5 years of experience in administrative, finance, compliance, or operations roles
- Demonstrated experience with financial systems, compliance documentation, and managing multiple deadlines

Additional Requirements
This is not an entry-level position. Candidates must have prior experience in structured administrative or operational environments with responsibility for financial tracking, compliance systems, or organizational infrastructure.
Compensation & Schedule
- $28–$32 per hour
- 30-40 hours per week, depending on organizational needs
