What are the responsibilities and job description for the Office Manager position at Chief Ethanol Fuels?
The Office Manager performs a wide variety of duties including working closely with our Construction Manager to prepare comprehensive action plans, including resources, timeframes and budgets for projects. This position will perform various coordinating tasks, schedule management, along with administrative duties, like maintaining project documentation and handling financial queries.
Essential Duties and Responsibilities:
Project Coordination
- Maintain Project Documentation including but not limited to subcontracts, purchase and change orders lien wavers, invoices, submittals, RFI’s, meeting agenda and minutes, drawing distribution and revisions, punch lists and close-out procedures.
- Manage schedules, including preparation of detailed short-term schedules. Manage and maintain the project schedules as per Construction Manager.
- Attends all project meetings and assists with execution of project requirements.
- Coordinates with Construction Manager all RFI’s. Create, Maintain, and follow up on open RFI log to ensure that all open items are resolved on a timely basis.
- Keeps records on extra work not in the contract that is performed.
- Prepare all close-out documentation.
- Organize and maintain confidential documents.
- Communicate with contractors on prevailing wage requirements and be a point of contact for accounting team.
- Ensure office supplies are in stock.
- Maintain confidential vendor pricing.
- Build & maintain a positive relationship with Subcontractors, Suppliers and Chief Ethanol Team Members
Safety
- Adherent to Chief Ethanol Safety program.
- Complete and maintain all safety forms required by OSHA and Safety Manager.
- Coordinate with Safety Manager to ensure OSHA compliance.
- Oversee contractor verification process.
- Promote and enforce Chief Safety Program onsite.
