This position averages around 25 hours per week and is fully onsite in our dedicated business office located just next door to our restaurant. We offer a flexible weekday schedule that can be shaped around your availability anytime between 8:00 am and 5:00 pm, Monday through Friday. It’s an excellent opportunity for a seasoned accounting and/or administrative professional who prefers daytime hours, but doesn’t want the commitment of a full-time role—or the late nights and weekends that come with many jobs.
We’re looking for someone with 4 years of experience performing similar duties; this is not an entry-level role. Administrative Operations Coordinator
Compensation: Based on experience
Availability Expectations: Monday–Friday
Expected Hours: 20–30 hours/week
Expected Schedule: Flexible daytime hours; must be available every other Monday for payroll processing and the first business day of each month for month-end processing
Reports To: Executive Director
Administrative Operations & Support
- Carry out daily, weekly, and monthly administrative tasks to ensure smooth business operations.
- Maintain strong organization, accuracy, and confidentiality across all administrative processes.
- Provide responsive support to the leadership team, assisting with documentation, system questions, and administrative needs.
- Manage company email accounts, ensuring messages are addressed, routed, or archived promptly.
- Sort and process incoming mail, emails, and vendor communications on a daily basis.
- Assist managers and team leaders with administrative projects and requests.
- Update internal communication boards and records to keep operational information current for staff.
Inventory Administration
- Record end-of-month invoices to support accurate inventory reporting.
- Submit and accept inventory transfers using internal systems.
- Ensure all off-site or mobile unit tracking tools are accurate and up to date.
- Enter product projections into ordering software to support accurate purchasing.
Cash Management Administration
- Review daily financial reports in internal management systems, including sales activity, deposits, and over/short balances.
- Monitor transaction reports to ensure accuracy and compliance.
- Review discount activity for proper documentation and usage.
- Process and reconcile third-party order platform sales daily.
- Enter and reconcile off-site/mobile unit sales in company systems.
- Register and maintain documentation for all additional distribution points or mobile units.
- Ensure cash pickups are prepared accurately and on schedule.
- Track change fund activity and verify counts and deliveries.
- Send invoices to approved customers for billable orders.
- Match customer payments to outstanding invoices and follow up on past-due accounts.
People, HR & Payroll Administration
- Track point systems and maintain accurate documentation.
- Maintain employee files with strict confidentiality, ensuring records are current and complete.
- Order uniforms, track inventory, and manage uniform-related deductions.
- Process bi-weekly payroll including time punches, adjustments, deductions, and special pay.
- Complete monthly bonus and benefits adjustments.
- Maintain PTO plans, including accruals, balances, and usage.
- Process referral bonuses in a timely manner.
- Print and distribute paychecks each pay period.
- Print and distribute annual tax documents (W-4s).
- Enter hours worked for off-site/mobile operations into tracking systems.
Accounting, Billing & Financial Administration
- Enter invoices promptly and maintain organized supplier records.
- Process supplier payments and prepare checks accurately and on schedule.
- Complete wage and event accrual calculations as part of monthly financial close.
- Prepare month-end financial documentation packet for corporate submission.
- Support ongoing accounting and financial documentation needs.
- Collect data from internal systems to produce weekly scorecards and management reports.
Facilities, Equipment & Supply Support
- Assist with ordering supplies, equipment, and smallwares as needed.
- Monitor stock of administrative and operational supplies and reorder proactively.
- Help document and coordinate repair or warranty requests when applicable.
