Key Responsibilities
Front Desk Management
- Greet residents, families, and visitors warmly and professionally
- Answer and direct incoming calls, addressing general inquiries
- Manage visitor check-ins and maintain accurate logs
- Keep the front desk organized, clean, and stocked with necessary materials
- Address resident or family concerns, referring them to the appropriate team member when needed
- Provide information on facility services, events, and policies
- Coordinate transportation requests and appointment scheduling
- Respond to feedback with empathy and efficiency, escalating issues to management as appropriate
- Foster a culture of hospitality and satisfaction for all facility interactions
- Identify opportunities to improve service delivery
- Check in with new admissions to ensure a smooth transition and address immediate needs
- Monitor “Tender Loving Care” (TLC) patients, providing extra attention and support
- Collaborate with clinical and administrative teams to fulfill resident requests
- Maintain a daily activity log and document visitor interactions or concerns
- Assist staff with clerical tasks such as filing, photocopying, and distributing correspondence
- Manage deliveries and distribute mail/packages
- Help organize and promote facility events, greeting participants and ensuring smooth execution
- Provide logistical support for tours and orientation sessions for new residents and families
Education & Experience
- High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred
- At least 1 year of customer service, hospitality, or concierge experience—healthcare or senior living preferred
- Excellent interpersonal and written/verbal communication skills
- Tactful, diplomatic, and discreet when handling sensitive situations
- Proficient with Microsoft Office (Word, Excel, Outlook) and other relevant software
- Strong organizational and multitasking abilities in a fast-paced environment
- Warm, professional demeanor with a commitment to outstanding service
- Ability to sit, stand, and walk for extended periods
- Occasionally lift and carry up to 25 pounds
