JOB TITLE: Specialist, Procurement (Part-Time) DEPARTMENT: Operations REPORTS TO: Manager, Analysis and Planning FLSA STATUS: Non-Exempt, Hourly ROLE The Procurement Specialist will be responsible for leading the procurement process from sourcing and receiving to purchase order reconciliation and invoice processing while identifying opportunities for cost savings and operational efficiencies. This role will work collaboratively with various departments within Operations to understand stakeholder requirements and will build and maintain strong relationships with prospective and current suppliers to meet internal needs. RESPONSIBILITIES Collaborate with internal stakeholders to understand needs, specifications, timelines, and budgets for products and services Conduct thorough research based on departmental requirements to identify potential suppliers and products that meet the department’s needs Communicate supplier analysis and product recommendations in clear, concise, and actionable reports or presentations Audit and reconcile supplier invoices and purchase orders to ensure accuracy and resolve any discrepancies in timely and efficient matter Setup vendors and process payments through invoicing system Assist in developing and implementing supplier diversity program, including researching vendors, developing relationships, and creating a comprehensive database of potential suppliers and products Stay up to date on industry trends, market developments, and regulatory changes that may impact procurement decisions and strategies Assist in monitoring inventory levels to inform ordering timelines Continually evaluate and improve the department’s procurement and invoicing processes, proactively identifying strategic sourcing and other opportunities to drive cost reduction and process efficiency opportunities Coordinate routine and ad hoc data and reporting requests by synthesizing and analyzing data into information relevant to each request and the intended audience Build and manage Requests for Proposal (RFPs) for large-scale projects Performs additional responsibilities as needed and as directed REQUIRED QUALIFICATIONS 4-year degree from an accredited university or college in a related field or equivalent combination of experience, education and training in sourcing, supply chain management, logistics, or procurement Proven experience in procurement including development and completion of requests for proposals (RFPs), vendor award, contract execution, and overall process management Proficiency in all Microsoft Office applications including advanced experience with spreadsheets Openness to creativity, innovation, and change Proven capability of managing multiple tasks in a fast-paced and dynamic environment Strong written and verbal communication skills and analytical foundation Ability to work both independently and collaboratively Passion and commitment to delivering a high level of service and timely responses to internal clients, external vendors, and partners Demonstrated ability to prioritize multiple projects PREFERRED QUALFICATIONS Experience in managing supplier diversity programs or construction procurement programs Relevant certifications such as Certified Professional in Supply Management (CPSN) or Certified Purchasing Manager (CPM) Proficiency in invoicing and procurement software Experience interpreting construction documents Response Expectations: Due to the overwhelming number of applications we receive, we unfortunately may not be able to respond in person to each applicant.
