Position summary
We are seeking a highly motivated and detail-oriented Office Order Processing Specialist to join our fast-paced office environment. This critical role will ensure the accurate and timely processing of customer orders from entry to fulfillment. The ideal candidate must be a skilled multi-tasker with proven experience in Excel and QuickBooks, capable of managing a high volume of orders while maintaining a high level of accuracy.
Key responsibilities
- Process customer orders: Accurately enter and process a high volume of sales orders received via phone, email, and other platforms into our order management system.
- QuickBooks management: Create and manage invoices, purchase orders, and estimates using QuickBooks. Ensure all data entry is accurate and up-to-date.
- Inventory coordination: Coordinate with warehouse and logistics teams to confirm product availability and ensure timely shipments. Monitor inventory levels and report any discrepancies.
- Customer service: Serve as a primary point of contact for customer inquiries regarding order status, tracking information, and delivery timelines. Professionally resolve any order-related issues or discrepancies.
- Administrative tasks: Maintain and update customer records, assist with general office duties, and perform other tasks as assigned.
- Reporting: Utilize advanced Excel skills to generate reports on order processing efficiency, sales data, and other key metrics.
- Multi-tasking and prioritization: Efficiently manage multiple tasks and competing deadlines simultaneously in a dynamic, high-pressure setting.
Required skills and qualifications
- Proven experience in an order processing or similar administrative role.
- High proficiency in Microsoft Excel, including the use of pivot tables, and complex formulas.
- Demonstrated experience using QuickBooks for order processing, invoicing, and purchase orders.
- Exceptional multi-tasking and organizational skills with a strong ability to prioritize tasks effectively.
- High level of accuracy and attention to detail, especially during high-volume periods.
- Excellent verbal and written communication skills to interact with customers, sales reps, and other teams.
- Ability to work both independently and collaboratively as part of a team.
- High school diploma or equivalent is required; an associate's degree or higher is a plus.
