Founded in 1987, Corporate Event Enterprises, Inc. comprises two divisions with complementary services - Corporate Event Interactive (producing interactive and team experiences) and Chicago Association Management (management services for professional and non-profit associations).

Chicago Association Management's (CAM) mission is to support our non-profit association clients to allow volunteers to focus on their mission and strategic initiatives by providing expert operational management services in finance, marketing, events, membership, governance, communications, and non-dues revenue.

The role:

Our Association Coordinators (AC) work under the direction of an Association Manager (AM) to help oversee our nonprofit client’s day-to-day operations. Daily activities vary, however, the work will involve regular and direct contact with external clients and internal team members to ensure timeliness of communication and completion of projects.

Our Association Coordinators bring enthusiasm and professionalism to their work at the highest possible level no matter how easy or challenging a situation. They can understand the dynamics of a group and are willing to ask their Association Manager for answers before giving answers to things they don’t know. They are humble, eager to learn, and have a great sense of humor!

Accountability:

The most important focus for an Association Coordinator as a CAM employee is to happily service assigned client(s) and CAM teammates, in the most efficient way possible to the best of their abilities, while staying within the scope of work agreed to in our contracts.

Responsibilities:

At the direction of the Association Managers, an Association Coordinator may be involved in the following task-based work for our client associations.

  • Prepare, update, compare, and analyze data and immediately bring findings to the Association Manager
  • Organize, update, and manage online client files
  • Create, update, and maintain association calendars
  • Update websites, including featured members and events with the Marketing Team
  • Manage and update online libraries and resource directories
  • Create, print, sort, and produce name badges
  • Oversee social media with the Marketing Team
  • Price check on venues and space availability
  • Communicate via telephone and email with association stakeholders
  • Oversee and set up online emails through various platforms
  • Oversee and post, event registrations via various online platforms
  • Assist with the management of association events
  • Create, distribute, and compile surveys and online forms to gather and process data
  • Create, prepare, and distribute agendas, minutes, and financial information for board meetings
  • Oversee board and committee meeting calendars and databases
  • Coordinate newsletter development with the Marketing Team
  • Anticipate and maintain office supply needs for assigned associations
  • Print, gather, and assemble materials for various in-person and online meetings and events
  • Process credit card payments as needed
  • Communicate with board and committee members as needed
  • Help manage CAM office at 400 E, Randolph St. in Chicago
  • Telephone answering responsibilities as required

Must haves:

  • Associate's or Bachelor's degree in business, communications, non-profit management, or a related field
  • 2-4 years experience ideally in a non-profit association setting or administrative customer service role, including meeting/event planning
  • Excellent written and verbal communication skills
  • Extremely detail-oriented
  • Strong time management and organizational skills
  • Proficiency in Google and Microsoft product suites
  • Ability to work independently but within a team environment

Prefer to have:

  • Business meeting and event planning and promotion experience
  • Experience with QuickBooks
  • Experience reading and understanding financial statements
  • Project management experience
  • Ability to lift up-to 35 pounds

At Chicago Association Management you can expect that every day will bring something different to focus on! This is why our Association Coordinators need to be flexible, and accessible, have good common sense, and the ability to manage their time effectively.

Our entire organization is extremely engaged and available to help our Association Coordinators as much as possible, especially during the initial period when they are learning their client's needs.

Successful Association Coordinators can pivot quickly when needed, prioritize what needs to be completed, and continually provide status updates to those who need to be in the know. Understanding that we work with nearly all volunteer board and committee members, we encounter many different personalities and must learn their nuances to be successful. A new Association Coordinator can expect our senior-level Association Managers to be available to help guide and mentor them through unknown or challenging situations.

CAM offers competitive hourly pay to its employees and allows for, within reason, flexible work schedules with the expectation that association Coordinators and Managers be present for client-facing meetings, events, and other engagements. Depending on the client the number of in-person and online meetings will vary, so an Association Coordinator must be available for both.

Pay: $22.50 - $27.50 per hour
