What are the responsibilities and job description for the Medical Secretary position at Chesapeake Regional Medical Center?
The Medical Secretary is responsible for providing administrative and clerical support for Emergency Department functions. Customer service and an ability to prioritize work are essential skills.
These duties and responsibilities described below represent the general tasks performed on a daily basis; other tasks may be assigned.
Perform general reception duties (greeting visitors, assisting the patient in coordinating hospital services, routing requests etc.)
Perform general secretarial functions including the use of computers, fax machine, copier and multi-line phones (i.e. messages, transfers, and callbacks as appropriate)
Effectively prioritize duties to maintain safe and efficient patient care and departmental function
Utilize the electronic medical record to identify and complete consult requests
Transfer ED Observation patients via the Electronic Medical Record System
Operate the intercom paging system to locate and page staff I family members
Operate the patient call bell system (i.e. Responder 5 Call System) to effectively manage patient requests
Operate Emergency Management Systems (EMS) communication devices (i.e. Lifenet Computer)
Maintain a detailed log of all incoming and outgoing phone calls made to physicians
Maintain and update an accurate daily/ monthly physician call schedule
Maintain a detailed log of all admissions from the emergency department and ED observation department
Obtain appropriate insurance authorization and assist with arrangement for patient transport
Maintain logs and office records according to established requirements
Order, stock, and maintain all office, clinical supplies, and patient dietary necessities
Maintain a high level of professionalism at all times with patients, physicians, and colleagues Inform physicians continuously regarding patient diagnostic/ laboratory data
Demonstrate knowledge of all Chesapeake Regional Healthcare and Emergency Department
policies and procedures
Ensure that the department is kept clean and safe, reporting any problems or potential problems immediately

Keep noise at a minimum to provide a quiet area for the patient population by being constantly aware of the noise level in the department
Attend required hospital-wide orientations, meetings, and in-services
Demonstrate a commitment to flexible work scheduling when necessary to ensure patient care

Minimum Required Education: High school diploma or equivalent with course(s) in Medical Terminology Preferred Education: Not applicable
Experience: 1 years current hospital experience or medical office experience preferred; must have the ability to type 35 wpm and operate a multi-line phone and computer
