Job Summary
We are seeking a dedicated and professional Front Desk Agent to join our team. The ideal candidate will serve as the first point of contact for clients and visitors, providing exceptional customer service while managing a variety of administrative tasks. This role requires strong communication skills, attention to detail, and the ability to handle multiple responsibilities in a fast-paced environment.
Responsibilities
- Greet and welcome clients and visitors in a friendly and professional manner.
- Answer multi-line phone system calls promptly, demonstrating excellent phone etiquette while addressing inquiries, client questions, and/or directing calls to appropriate personnel.
- Manage appointment scheduling and maintain an organized calendar for attorneys and staff.
- Prepare paperwork for signing.
- Perform data entry tasks accurately, ensuring all client information is up-to-date in our systems.
- Assist with legal drafting tasks as needed, including documents related to estate planning and administration.
- Maintain filing systems for legal documents, ensuring compliance with legal regulations.
- Support office operations by coordinating with other staff members to ensure smooth workflow.
- Attend to client needs during appointments.
Requirements
- Previous experience in a law office environment is preferred.
- Strong understanding of legal terminology, particularly in estate planning and estate administration.
- Excellent organizational skills with the ability to manage multiple tasks efficiently.
- Proficient in data entry with high attention to detail.
- Strong verbal and written communication skills.
- Ability to work independently as well as collaboratively within a team setting.
- Microsoft products (Word, Excel, To Do, Teams, Outlook, etc.) on a PC platform
- Professional office environment
Requirements
- Familiarity with Smokeball (law office case management system).
- Experience with estate planning and/or estate and trust administration.
NOTE:
- this is an on-site position at the Ocean View, Delaware office
PAY:
- $18 - 21 / hour depending on experience
SCHEDULE:
- full-time, in office (Monday-Friday, 9-5)
