New Homes Sales Consultant Agent-in-Training Job Description- Chesapeake Homes
As an agent-in-training your job is to assist the site agent in any and all activities related to making a sale and keeping those that are under contract satisfied. As well as assisting in sales, it is your responsibility to keep up with the day to day tasks of keeping the site(s) in pristine condition, as well as a variety of administrative duties. These duties are spelled out more clearly below.
Opening the sales office and models (if applicable): These tasks, along with completing the remainder of the “Grand Opening Checklist” should be completed DAILY.
· Unlock the door and open any curtains, blinds, etc.
· All community signage must be put out and brought in daily. Put the A frame OPEN sign out in front of the model, as well as the other A frame sign at the community entrance. Make sure they all face the right direction.
· Water any plants if needed.
· Turn on all of the lights and lamps in the model(s).
· Check to make sure the refrigerator is clean and stocked with water, the bathrooms are clean, the trash has been emptied, and the information table is straightened up and stocked, and the floors are “Swiffered” and clean.
· Turn the TV on, with community slideshow or Chesapeake Homes website.
· Make sure the office and other decorated models (if applicable) are in “GRAND OPENING” condition before the site opens, being sure to notate anything that needs to be addressed by the field or the site agent.
· Place chloroplast directional signs along the roads leading to the community, there should be signs leading guests from all directions. (these can be put out on Friday morning before the site opens and must be taken down Sunday after close of business)
Meet and Greet ALWAYS stand up and greet guests in a courteous and professional manner. Make sure guests fill out a guest registration, checking for clear handwriting and as much information filled in as possible (especially the contact information, if they have an agent, and specific wants/needs in a home.)
Administrative duties: Administrative support for the site manager and team in the overall sales operations of the Chesapeake Homes Community you have been assigned to, more specifically, but not limited to the following areas of support:
· Community E-mail: CONSTANTLY check the E-mail account and reply to any that you can. Those that you cannot resolve or are personally addressed to the agent bring to their attention as soon as possible.
Information Packets: Make sure the community information packets are stocked and up to date with the plans, current community maps with all sold and available homesites marked, and any current promotional & inventory flyers.
REIN: Make sure that you are checking the REIN listings for your community once a week (Inventory and Master Models) to be sure all of the information, photos, and Agent/Public remarks are up to date. If the home is completed and there are no photos listed make sure you are requesting current photos from the Marketing Department Content Coordinator, so photos can be updated in REIN and other various sites. If any changes need to be made to the listing itself (including remarks) please make a note for the agent on site to make these changes.
· Website: Check the Cheshomes.com website weekly to ensure that all information is correct and up to date for the entire site, including the “Quick Move in Homes” section and community maps section on your community page.
· Admin support and maintenance of contract files: Work with the site agent to create a physical and electronic contract file for all inventory homes as well as new purchases. When a home goes under contract scan, copy, fax, or e-mail any necessary items. Go through under contract files once a week to make sure everything is up to date, in the proper order, and any tasks for that week have been completed and documented both in the file as well as in Lasso. Assist agents to ensure HOA/POA docs have been renewed and are current. It is pertinent that you are keeping open lines of communication with your site agent about anything you see or notations you make in any contract files.
· Lasso: Enter any information obtained from the prospects guest registration, as well as any other information obtained during their visit, and enter all new prospects into Lasso. In addition to entering new prospects, any prospects that have already been entered should be updated each and every time contact is made, this includes site visits, e-mail correspondence, phone calls, texts, etc. Make sure to update when a prospect goes under contract (if they write a contract on their first visit still add them.) Go back and update when they close so that we can keep an up to date directory of homeowners in the neighborhood, it is imperative that you have good contact information for the buyer (not just the agent) so that we can reach out to them in the future for community events, to send thank you cards etc.
· Social Media: Send photos to marketing@cheshomes.com (examples are below in the photos section) as well as up and coming local city events, neighborhood events, articles you think would be of interest to potential home buyers, real estate agents, or new homeowners, or any inventory homes you would like to highlight that week. When requests are sent from the marketing team for photos or information for social media, gather together what you can and be sure to get with the site agent to get what is needed from them as well.
· Monthly Inventory of Office Supplies: Take inventory of the office supplies, marketing supplies, food/drink, etc. in the sales office. Be sure to gather any required supplies from the main office during your weekly visits or as required. If specific items are not available please notify marketing so they can order the items on your behalf. Your site agent may ask you to pick up other items needed that are not at the main office, (Drinks, snacks) be sure to ALWAYS save receipts, if you use your money attach the receipt to the expense report, if the site agent uses their money help them fill out an expense report and attach the receipt.
· Help build and nurture Relationships with the Cobroke Community: Reach out to co-brokes you have worked with in the past as well as real estate offices in your area that you may not already have a relationship with. Deliver baked goods, current inventory/promotional flyers; send personal e-mails notifying them of inventory homes on builder specials, quick move in homes and any upcoming agent events. Call agents personally and invite them out to site, a personal call or handwritten letter goes a long way.
· Community Event involvement: Help to organize and promote homeowner events within the community, as well as agent events and any other Chesapeake Homes event.
Attend all Sales Rallies & Meetings: Attend all monthly Sales Rallies and other scheduled Sales Meetings and Sales Trainings. Once per week- preferably on Monday, meet with the site agent you work directly with weekly for 10-15min to go over completed tasks for the previous week, any tasks for the new week, homes under contract, any updates and/or changes being made to Quick Move in Homes. This is also a great time to go over any questions, concerns, any requests for time off, or other topics of discussion between you and your agent.
Sales Process: It is also your responsibility to learn the full sales process, (you will be given these items along the course of your first 90 days). You must learn to become proficient at the sales process and be able to bring a prospect to the point of contract. This process must be mastered in order to be successful with the company. You will continually be evaluated on your progress of demonstrating the sales process.
