Job Summary: This role supports a small professional services firm by managing a wide range of operational functions including marketing coordination, recruiting support, IT project coordination, and general administrative duties. The position requires a proactive, self-motivated individual who thrives in a dynamic environment.
Job Duties:
· Coordinate IT projects and act as liaison with outsourced helpdesk (cybersecurity, system updates, troubleshooting, onboarding/offboarding)
· Maintain CRM (HubSpot) and support marketing efforts (newsletters, deal announcements, contact research)
· Assist with recruiting (post jobs, screen resumes, schedule interviews)
· Provide administrative support (calendar management, SOPs, meeting materials)
· Manage vendor relationships and communications
· Serve as backup receptionist as needed
Requirements:
· Experience: 5 years of general administrative / multi-functional experience
· Education: High school diploma required (college not required but preferred)
· Experience in multi-functional roles (admin, operations, marketing, HR support)
· Professional services background preferred
· Familiarity with tools (preferred): CRM systems (HubSpot a plus), Constant Contact, Monday.com, Microsoft Office 365, Adobe, DocuSign, SharePoint, OneDrive, Zoom
· Strong soft skills: Self-motivated, Adaptable / willing to learn, Organized and proactive
Additional Information:
- Pay range: $65k-$70k
- Schedule: Monday-Friday 8:00am-5:00pm
- Location: Minnetonka, MN - 100% onsite
