What are the responsibilities and job description for the Front Office Sales Coordinator position at Chernoff Cosmetic Surgery - Indianapolis?
Chernoff Cosmetic Surgery, a well-known, established, and thriving practice, is seeking a hardworking, sales minded, and team orientated Front Office Sales Coordinator. The hours for this position are M-F, 8:30 AM to as late as 6:30 PM on certain days. Some Saturdays will be required. This is not an entry level position and requires office, customer service, and sales experience. The starting pay range is $20-$25 per hour based on experience with opportunities for performance bonuses. This is not a remote position. Candidates must be able to work at our office full-time Monday - Friday and Saturday's based on patient volume.
Responsibilities:
- Manage and follow phone protocol for inbound calls from new and existing patients interested in learning about our services, scheduling appointments, or consultations.
- Make outbound phone calls, send emails, and text messages to patients about promotions or treatments/services, upcoming appointments, scheduling changes, or follow-up appointments.
- Follow our sales, phone, scheduling, and office protocols for all communications: phone, email, text, and with internal team members.
- Educate patients in the office on our products, treatments, and procedures while building rapport with patients and helping them to feel welcome and at ease.
- Schedule appointments following our appointment scheduling protocols to ensure no overlap in instrumentation/devices needed for specific procedures.
- Check in patients and ensure providers are notified of patient’s arrival or bring patients to appropriate room coordinating with providers, photo coordinator, and patient coordinators.
- Manage the waiting room to ensure our patients have the best experience at our office.
- Monitor wait times and inform providers if a patient has concerns about a long wait or any other potential issue.
- Check out patients ensuring all invoices are accurate and no items have been missed.
- Anticipate and overcome problems and/or schedule issues.
- Assist with inventory, special projects, and cross train on other areas of the office including photo taking, and anything that will help ensure a smooth daily patient flow.
- Prepare charts for upcoming days researching patients’ pre-paid treatments can be understood by providers and to ensure accuracy during check out. Ensure consents are included for treatments performed, notes have been printed, and providers are prepared for the patient treatment.
- Ensure HIPPA is followed during phone and in person patient discussions.
Requirements:
- Three or more years of sales experience or three years of customer service with excellent sales skills.
- Medical or dental front office experience preferred. Ability to speak Spanish a plus.
- Strong work ethic, team focused, positive attitude, ability to multi-task, problem solve and thrive in fast-paced goal driven environment.
- Detail oriented, strong listening skills, and ability to build relationships.
- Strong written, verbal communication including phone skills, and organization skills.
- The ability to work on multiple projects simultaneously.
- Enjoys completing repetitive tasks such as preparing patient charts, following up with sales inquiries, rescheduling patients, managing inventory, and documentation required by our sales and office protocols.
- Dedicated and willing to go above and beyond job expectations.
- The ability to quickly learn the services offered by our practice and our Patient Management system.
- Follow office protocols with patient management software program and overall office protocols.

- Talk clearly and articulate words for extended periods of time at a volume level that can be easily heard over the phone or in person. Perceive sounds at normal speaking levels and receive detailed information through oral communication. Sit or stand approximately 50% of the time. Complete repetitive motions with hands (typing) and wrist movements. Ability to view and understand information written in a patient’s medical chart.
Pay & Benefits:
- Hourly pay rate is based on experience.
- After 90-days of full-time employment (40 hours per week) employees receive medical, dental, and vision health benefits, and paid time off. After 1 year of full-time employment, employees are eligible to enroll in the company 401k program.
