Position Overview:
The Finance and Employee Services Coordinator is responsible for processing payroll, maintaining accounts payable and accounts receivable records, and administering employee benefit programs. This position ensures accuracy, confidentiality, and compliance in all payroll, accounting, and employee benefit functions while supporting the overall financial and administrative operations of the organization.
Reports To: Executive Director
Essential Duties & Responsibilities:
Payroll Administration
- Process bi-weekly payroll accurately and timely using Paylocity
- Maintain employee payroll records including wages, deductions, direct deposits, PTO balances, and tax withholdings
- Verify payroll changes prior to processing
- Prepare payroll reports and assist with payroll audits as needed
- Ensure compliance with federal, state, and local payroll regulations
- Respond to employee payroll questions and resolve discrepancies promptly
Accounts Payable & Accounts Receivable
- Maintain accounts payable and accounts receivable using QuickBooks Online
- Process vendor invoices and prepare payments in a timely manner
- Monitor outstanding balances and follow up on receivables
- Reconcile bank statements and financial records
- Assist with monthly financial reporting and account reconciliation
- Maintain organized and accurate financial documentation
Benefits Administration
- Coordinate employee 401(k) retirement benefits through NBT Bank retirement services
- Administer employee benefit enrollment and changes through Navigator Employee System
- Manage health, dental, and vision insurance programs through Marshall & Sterling
- Assist employees with benefit questions, enrollment forms, and claims information
- Maintain benefit records and ensure accurate payroll deductions related to benefits
- Coordinate annual open enrollment activities
Administrative & Compliance Support
- Maintain confidentiality of employees and financial information
- Ensure compliance with company policies and applicable regulations
- Assist with audits, reporting requirements, and record retention
- Support administrative operations as assigned by management
Qualifications
- Associate degree in accounting, business administration, human resources, or related field preferred
- Minimum of 2 years of payroll, bookkeeping, or benefits administration experience preferred
- Experience with Paylocity and QuickBooks Online preferred
- Knowledge of payroll processing, accounts payable/receivable, and employee benefits administration
- Strong organizational skills and attention to detail
- Ability to maintain confidentiality and handle sensitive information professionally
- Proficiency with Microsoft Office applications including Excel and Word
- Strong communication and customer service skills
