Overview
We are seeking a detail-oriented and organized Dispatcher / Back Office Admin Support to join our logistics team. This role is essential in coordinating transportation activities, managing freight operations, and providing administrative support to ensure smooth workflow across our supply chain. The ideal candidate will possess strong communication skills, technical proficiency with transportation management systems, and the ability to handle multiple tasks efficiently in a fast-paced environment.

Duties

  • Dispatch technicians to service calls across multiple states
  • Coordinate workload, confirm ETAs, and adjust schedules in real time
  • Communicate with customers regarding arrival times, updates, and approvals
  • Monitor SLA timelines and escalate when needed
  • Review work orders for accuracy before and after completion
  • Order parts when requested and track shipments/returns
  • Maintain digital records, route notes, and technician updates
  • Support invoicing and light administrative tasks
  • Serve as the first line of support for client and tech questions

Skills

Preferred:

  • Dispatch / coordinator experience (service industry, HVAC, appliance repair, field service, etc.)

Must-Haves:

  • Highly organized and detail oriented
  • Ability to multitask and prioritize under pressure
  • Comfortable using computer, email, spreadsheets, and scheduling apps
  • Professional, calm, and confident communication
  • Reliable and consistent availability (M-F, occasional weekends)
  • Experience with CRM, Service Fusion, QuickBooks, or similar scheduling software
  • Strong customer service & communication skills

Pay: $23.38 - $28.15 per hour
