Role Description
This is a full-time, on-site position based in Rochester, NY, for a Property Manager supporting a multi-site, market-rate portfolio portfolio. The role involves providing administrative assistance to ensure smooth day-to-day operations of property management activities. Key responsibilities include managing lease administration, supporting tenant relations, coordinating maintenance requests, and serving as the primary point of communication between various stakeholders. The Property Management Coordinator will play a critical role in ensuring the satisfaction and efficiency of both property owners and tenants.
Qualifications
- Strong Communication and Customer Service skills to interact effectively with tenants, property owners, and vendors.
- Property Management knowledge and Lease Administration experience to ensure compliance and operational efficiency.
- Excellent Administrative Assistance skills, including organization, scheduling, and attention to detail.
- Proficiency in property management softwares (Buildium, Rentvine, Appfolio, Doorloop, Yardi) and other softwares/tools is preferred (LeadSimple, Gmail, Google Drive, Office, Teams, Zoom).
- Ability to multitask and prioritize in a dynamic environment.
- Strong time management and ability to prioritize tasks effectively.
- Previous experience in real estate or property management is a plus.

Key Responsibilities
Leasing & Marketing
- Post and manage apartment listings across platforms
- Respond to rental inquiries via phone, text, and email
- Schedule showings and follow up with prospective tenants
Tenant Communication
- Handle inbound tenant calls and messages
- Coordinate and track maintenance requests
- Communicate updates clearly and professionally
Maintenance Coordination
- Dispatch work orders to maintenance staff
- Coordinate with vendors and schedule appointments
- Ensure timely completion and follow-up
Operations & Admin
- Assist with lease renewals and tenant outreach
- Process and track bills and invoices
- Maintain organized records and systems
- Bookkeeping may be required from time-to-time
General Property Operations
- Support day-to-day property management operations across the portfolio
- Assist with a wide range of operational tasks to ensure properties run efficiently and professionally
- Help implement and follow internal processes and systems
- Monitor ongoing property needs and escalate issues to management when appropriate
- Provide general support to ownership and team members on property-related initiatives
- Assist with special projects and operational improvements as the portfolio grows
Compensation and Benefits
- $24–$31/hour based on experience
