Job Summary

We are seeking a highly organized, detail-oriented, and autonomous Full Charge Bookkeeper to manage most day-to-day financial operations of our organization. In this role, you will handle most aspects of our nonprofit accounting cycle—from tracking our expenses and restricted funds, recording our dues collections and donations, monitoring our budget, handling our month-end closing and preparing board-ready financial reports.

The ideal candidate must have a strong mastery of QuickBooks Online, including its budgeting and reporting functions, Excel, and is familiar with Google Workspace.

Our small leadership team needs someone who can work independently, maintain absolute financial integrity and confidentiality, work in collaboration with our part-time Administrator, and support the Treasurer, the Development Director, our Committee Chairs, and the Board of Directors.

Key Responsibilities

  • Fund Accounting & Grant Tracking: Manage and reconcile restricted, reserve, and unrestricted funds. Track grant and restricted fund expenditures to ensure compliance with donor intent and reporting requirements.
  • Donation & Revenue Recording: Partner with our Administrator and Development team to accurately reconcile membership dues payments and donation data (from Shulcloud synagogue software) with our accounting software (Quickbooks Online).
  • Daily Financial Management: Record day-to-day financial transactions, including accounts payable (AP), accounts receivable (AR), cash receipts, and disbursements and apply categories established by the Treasurer. (Excluded: invoicing members which is handled by our Administrator, and vendor payments which are handled by the Treasurer.)
  • General Ledger Maintenance: Maintain, reconcile, and balance the general ledger in accordance with GAAP.
  • Reconciliations: Perform monthly bank, credit card, and other reconciliations to ensure data accuracy.
  • Payroll Processing: Manage and process payroll, track employee hours, and ensure accurate filing of payroll taxes and compliance reports.
  • Board & Financial Reporting: Prepare timely and accurate monthly, quarterly and annual financial statements (Statement of Financial Position, Statement of Activities), Key Performance Indicators Report, and budget-to-actual reports for the Treasurer and Board of Directors and the Annual Meeting of Members.
  • Committee Reporting: Prepare timely and accurate quarterly and annual financial reports for Committee Chairs and ad hoc reports as needed. This includes information on use of restricted donations for communication with donors and data supporting strategic planning.
  • Tax Compliance: Assist with the preparation and filing of local, state, and federal taxes (1099s, payroll tax).
  • Cash Flow Management: Monitor cash flow closely and provide regular updates to management.
  • Audit Support: Prepare and organize documentation for year-end 1099 preparation and external reviews.

Qualifications & Skills

  • Experience: Minimum of 3–5 years of experience as a Bookkeeper or in a similar comprehensive accounting role.
  • Education: Associate’s or Bachelor’s degree in Accounting, Finance, or Business Administration (Equivalent hands-on experience will be considered).
  • Software Proficiency: Expert-level knowledge of accounting software (e.g., QuickBooks Online) and intermediate skills in Microsoft Excel (complemented by use of Co-Pilot or other AI program). Experience with Google Workspace a plus.
  • Technical Knowledge: Solid understanding of FASB/GAAP standards for nonprofits, internal controls, and functional expense allocation.
  • Soft Skills: Exceptional organizational skills, high attention to detail, strong problem-solving abilities, and the capacity to handle confidential financial data with integrity.

Pay: $30.00 - $40.00 per hour
