What are the responsibilities and job description for the Front Desk Associate position at Chat Speech Language Pathology PLLC?
Hours 9-5:30pm Monday through Thursday (30 hours/week)
ResponsibilitiesPatient Experience
- Greet patients and families warmly and assist with check-in and check-out
- Help families feel comfortable and supported in the office environment
- Answer phones, emails, and patient questions in a professional and friendly manner
Scheduling
- Schedule, reschedule, and confirm therapy appointments
- Manage therapist schedules and help maintain full caseloads
- Coordinate ongoing therapy scheduling for established patients
Payments
- Collect copays, coinsurance, and deductible payments at time of service
- Maintain payment methods on file
- Provide receipts and answer basic billing questions
Insurance Support
- Verify that insurance coverage is active prior to visits
- Ensure prior authorizations are on file before scheduled appointments
- Communicate with admin or billing team regarding authorization status
Clinic Operations
- Maintain a clean, organized, and welcoming front desk area
- Assist with intake paperwork and patient forms
- Support therapists with light administrative needs
- Help manage patient flow throughout the day
Qualifications
- Experience in a medical, therapy, or pediatric office preferred
- Strong customer service and communication skills
- Organized and detail-oriented
- Comfortable learning electronic medical record systems (experience with SimplePractice is a plus)
- Ability to multitask in a busy clinic environment
- Enjoy working with children and families
