Job Title: Administrative Technician
Location: Charlottesville Early Learning Center
Reports to: Assigned Administrator
FLSA Status: Non-Exempt
Summary:
The Administrative Technician provides comprehensive administrative, bookkeeping, and technical support to ensure the efficient day-to-day operations of the school. This role serves as a key point of contact for staff, students, parents, and external organizations, requiring professionalism, discretion, and strict adherence to school policies and confidentiality standards. The position works under the direct supervision of the principal.
- Provide administrative support and clerical functions to the principal and school leadership, including scheduling, maintaining manual and electronic documents, files, records, and reports.
- Serve as a primary point of contact for staff, students, parents, and visitors, including daily sign-in and sign out; respond to inquiries in person, by phone, and electronically in a professional and courteous manner.
- Perform daily attendance reporting and documentation,
- Perform bookkeeping and financial support functions, such as processing purchase orders, invoices, reimbursements, deposits, and maintaining accurate financial records in accordance with division procedure.
- Maintain student, staff, and school records, ensuring accuracy, confidentiality, and compliance with applicable laws and school division policies.
- Support school operations by coordinating logistics for meetings, events, testing, distribution of report cards, and other school activities.
- Utilize division financial, student information, and administrative systems to enter, update, and retrieve data accurately.
- Monitor office supplies and equipment; prepare requisitions and coordinate with vendors as needed.
- Assist with compliance reporting and documentation for audits, grants, or other required submissions.
- Collaborate with school and central office staff to resolve administrative or operational issues.
- Attend meetings (e.g., trainings, in-service activities, workshops, conferences, classes, etc.) to increase professional knowledge, convey and/or gather information required to perform functions.
- Perform other related duties as assigned to ensure the efficient and effective functioning of the work unit.

Ability to perform single, technical tasks with a potential need to upgrade skills; operation of standard office equipment including utilizing pertinent software applications; preparation and maintenance of accurate records; planning and managing projects; read technical information, compose a variety of documents and/or facilitate group discussions; analyze situations to define issues and draw conclusions; satisfactorily perform functions such as operations, services and activities of the Division principles and practices of modern office management, business telephone etiquette, concepts of grammar and punctuation and any required accounting/bookkeeping skills; ability to schedule a number of activities, meetings, and/or events; gather, collate and/or classify data; flexibility to work with a wide variety of circumstances; work with data utilizing defined but different processes; work with a diversity of individuals and/or groups; work with data of varied types and/or purposes; problem solving to analyze issues and create action plans; independent interpretation of guidelines; adaptation to changing work priorities; communication with diverse groups, maintenance of confidentiality; meet deadlines and schedules; priority setting, participate as a team member; work with frequent interruptions; Warm, welcoming, and inclusive approach when interacting with children and families; and Bilingual skills preferred
Education and/or Experience:
High school diploma or equivalent and job-related experience with increasing responsibility are required.
Physical Conditions and Nature of Work:
The usual and customary methods of performing the job’s functions require the following physical demands: some lifting, carrying, pushing, and/or pulling, and significant fine-finger dexterity. Generally, the job requires 75% sitting, 10% walking, and 15% standing. The job is performed in a generally clean and healthy environment.

Evaluation:
The Administrative Technician is evaluated by the Principal or the Principal’s designee.
Contract Length:
12 months/260 days unless specified for a different length, and will be discussed during the hiring process
