Job Responsibilities:

The following PRIMARY job duties will be expected as a Parts Counter Person:

  • Greet customers (both retail and internal service technicians) promptly and courteously; assist them in identifying and obtaining required parts and accessories.
  • Maintain a thorough working knowledge of parts inventory, pricing, and current promotions to maximize sales opportunities.
  • Accurately input parts orders and ensure timely and correct fulfillment of all parts requests, including special orders.
  • Process all parts transactions, including cash, credit, and internal repair orders, in accordance with dealership and manufacturer guidelines.
  • Maintain parts records, purchase orders, and returns in compliance with company and manufacturer policies.
  • Ensure the parts department is properly stocked, organized, and labeled, including daily bin checks and cycle counts.
  • Coordinate with the service department to verify parts availability and proactively resolve delays that may affect repair timelines.
  • Follow up on backorders daily and communicate ETA updates to technicians, advisors, or customers.
  • Participate in monthly inventory counts and assist in identifying discrepancies or obsolete stock.
  • Maintain cleanliness and organization of the parts counter, showroom displays, and storage areas.

The following SECONDARY job duties are expected occasionally in support of overall dealership operations:

  • Assist in training and mentoring new parts personnel on procedures, systems, and customer service standards.
  • Support the service department with accurate parts quotes and cross-referencing during repair order write-up.
  • Coordinate shipping and receiving of parts and ensure all incoming freight is checked against invoices and properly stocked.
  • Maintain professional communication with vendors and manufacturers to ensure consistent supply and accurate invoicing.
  • Assist with merchandising and visual presentation of retail parts displays and accessories.
  • Participate in departmental meetings and contribute to process improvement discussions.
  • Uphold all dealership safety, environmental, and ethical standards at all times.

QUALIFICATIONS:

Must work well under pressure, be action- and results-oriented, and possess strong organizational skills, time management skills, and the ability to multitask. Must have distinguishing behavior while putting the customer first, working well with others, leading courageously, developing continuously, and achieving results. Prior experience in an automotive parts department or warehouse environment is required.

EDUCATION and/or EXPERIENCE:

High school diploma or general education degree (GED) required. Minimum of two (2) years of experience in an automotive dealership parts department preferred. Working knowledge of parts catalogs, DMS systems (such as CDK, Reynolds, or Dealertrack), and manufacturer ordering systems is required. Proficiency in Microsoft Office applications (Outlook, Word, Excel) and basic 10-key data entry experience is preferred.

LANGUAGE SKILLS:

Ability to read and interpret parts manuals, invoices, safety rules, operating and maintenance instructions, and procedure manuals. Must be able to write routine reports and correspondence and communicate effectively with customers, technicians, and other dealership staff.

REASONING ABILITY:

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Must be able to deal with problems involving several variables in standardized situations, such as incorrect parts deliveries or stock discrepancies.

PHYSICAL DEMANDS:

While performing the duties of this job, the employee is regularly required to stand, walk, and talk or hear. The employee is occasionally required to sit, reach, bend, or climb. The employee must frequently lift and/or move up to 50 pounds. Specific vision abilities required include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.

The individual will work primarily in a dealership parts department and warehouse setting, often in proximity to service bays.
