Position Summary

Responsible for purchasing, warehousing, and distribution of materials required by the Agency. Coordinates, locates, audits, and tracks physical inventory of supplies for the warehouse and developments. These tasks are to be performed in compliance with National Standards for the Physical Inspection of Real Estate (NSPIRE) and other HUD evaluation systems.

Responsibilities

The duties listed below illustrate the various types of work that may be performed. The omission of specific statements regarding duties does not exclude them from the position if the work is similar, related, or a logical assignment in association with this position. Undertakes and performs the following and all other work-related duties as assigned.

1. Develops specifications and standardizations for inventory of necessary office supplies, equipment, maintenance, and repair needs and monitors usage quantities and frequency through review of inventory reports to track utilization of resources. Calculates and analyzes trends and projections to establish minimum and maximum inventory levels and reorder quantities.

2. Stores materials and supplies in warehouse, monitors inventory, and issues to Agency employees as needed.

3. Processes approved purchase requisitions for materials and services provided/used by Maintenance staff and maintains inventory control in accordance with Agency policies and procedures.

4. Maintains records pertaining to items purchased, costs, delivery, product performance, and inventories.

5. Conducts physical inventory count, at least annually of all materials, supplies, tools, equipment, and fixed assets; conducts interim spot check inventory counts as needed to maintain an accurate inventory system.

6. Solicits competitive quotes from vendors obtaining price, availability, and delivery schedule ensuring compliance with Agency procurement policies and procedures.

7. Receives, unpacks, and stores incoming office supplies, and requisitions stock to replenish inventory.

8. Maintains vendor files with appropriate information, maintains vendor registers and qualified bidder lists.

9. Sends updated vendor information and purchase orders to Accounts Payable department to update in computerized system in an accurate and timely manner.

10. Prepares monthly inventory report and submits it to the Facilities Manager.

11. Issues tools, equipment and other items to maintenance personnel and maintains records of items issued and returned.

12. Applies and engraves equipment identification asset numbers for newly purchased inventory and non-inventory items.

13. Enters inventory information in the computer system as a transfer prior to delivery to the site. Provides transfer packing slip to Maintenance staff at delivery for verification of material received.

14. Reviews inventory control for duplicate and/or obsolete part numbers, material descriptions, unit of measure, vendor order number, and unit pricing; prepares a list of corrections and/or duplications and submits to the Facilities Manager and Accounting department for approval and resolution; reallocate over-stock to other properties and provide Director of Facilities Maintenance and Facilities Manager with information.

15. Investigates, evaluates and makes recommendations for new products to ensure efficient, cost effective and high-quality material purchases; coordinates usage tests for new material items with on-site lead maintenance person and make recommendations accordingly.

17. Assists in fiscal year-end inventory of materials, office supplies, office equipment and capital items.

18. Maintains Central Supply fleet.

19. Applies for credit with applications and files tax-exempt forms with various vendors and suppliers.

20. Accountable for consistent adherence to strong Agency standards regarding the ethical, responsible, and appropriate use, care, and safeguarding of Agency materials, supplies, resources, and other assets.

Pay: $36,310.00 per year
