The Lead Aide Volunteer Program will play a key role in coordinating the agency-wide Volunteer Program. The Lead Aide Volunteer Program will monitor the efficiency of the program by attending events/activities, communicating with staff and reviewing feedback from the volunteers within the system. This aide will also assist in planning and then will advertise activities to the volunteers within the volunteer system software. This position requires some weekend, evening, and holiday work.


Job Location: This position reports to Headquarters (861 Riverland Drive, Charleston, SC 29412), but could work anywhere in Charleston County (McClellanville to Ravenel) traveling in an agency vehicle.


Pay Rate: $19.25 per hour


Specific Duties and Responsibilities

• Primarily monitors incoming volunteer requests and builds activities in system when needed.

• Primarily reviews placement of volunteers in continuous ongoing assignments as well as short-term and one-time projects.

• Primary coordinates check-ins for volunteer leaders to ensure they are aware of all current CCPRC processes and prepares them to lead at assigned activities.

• Communicates with staff, volunteer applicants, and active volunteers.

• Attends events and projects to ensure volunteers are equipped for registered activities.

• Assists volunteers through application process which includes a background check through to ensure a smooth onboarding.

• Establishes and maintains good relationships with peers, volunteers, prospective candidates, and outside agencies.

• Assists with volunteer recruitment by attending events and creating marketing ideas.

• Assists with coordination of retention events for the volunteers.

• Sends out rosters to requestors, event details and submit hours reminder to volunteers.

• Submits hours in system on behalf of volunteers as needed.

• Creates monthly volunteer hours report.

• Assists with maintaining and updating the Volunteer Handbook.

• Organizes volunteer inventory and software (email templates, qualifications, etc).

• Reports any negative volunteer feedback to Volunteer Coordinator in effort to maintain good standing with volunteers.

• Performs other related duties as required.


Requirements

• High school Diploma or GED required, and two years administrative or clerical work experience preferred.

• Knowledge of computers and software in Windows environment (Microsoft Office including Outlook, Word, Excel, and PowerPoint), copy machines, telephone systems, and other office equipment.

• Ability to speak effectively to groups and convey important information about employment with CCPRC.

• Ability to handle a variety of duties, situations, and changes in a positive manner with the utmost commitment to confidentiality.

• Ability to deescalate conflict.

• Knowledge of planning and organizing projects in a timely manner or with short notice.

• Ability to work independently.

• Ability to work effectively with several employees and assist where necessary.

• Ability to communicate clearly and concisely, both orally and in writing.

• Must pass a drug test and a criminal background check.

• Shall possess and maintain a valid driver's license.


Working Conditions

While performing the essential functions of this job, the incumbent is regularly required to sit; use hands to finger, handle, or feel objects; bend body downward and forward, requiring full use of the lower extremities and back muscles; reach with hands and arms; speak and hear; and push, pull and/or lift up to 20 pounds occasionally. Work is performed in a fast-paced office setting with frequent interruptions and with the need to deal with a great diversity of people. Performs routine duties with moderate supervision following established procedures and deadlines.


Due to the classification of this position, it is required to participate in the South Carolina Retirement System (SCRS) State Retirement Plan.
