The organization partners closely with community members, legal advocates, students, and scholars to advance systemic change rooted in dignity, transparency, and public trust.The RoleCLEAR seeks a highly organized, detail-oriented Administrative Assistant to provide essential administrative, logistical, and operational support to the CLEAR team. This role is central to ensuring the smooth day-to-day functioning of the organization and supporting its legal, advocacy, and programmatic work.The Administrative Assistant works closely with CLEAR leadership and staff, as well as with colleagues across CUNY School of Law, and serves as an important point of coordination for internal operations, scheduling, and communications.Impact AreasAdministrative & Compliance Support (40%)Manage administrative paperwork and approvals related to the Research Foundation of CUNY and CUNY School of Law processesPrepare and track reimbursements, purchase requests, and internal documentationDraft, process, and monitor independent contractor agreements using established templatesEnsure required forms and agreements are completed, submitted, and tracked accuratelyMaintain organized administrative records and shared filesTrack deadlines and follow up with internal and external stakeholders to ensure the timely completion of tasksFinancial & Operational Coordination (30%)Assist with time and leave tracking and submission for CLEAR staffHelp verify payroll-related documentation and internal financial calculationsSupport transfer of funds and related administrative coordination with the Research Foundation of CUNYMaintain logs and spreadsheets to track expenses and administrative activityServe as an administrative liaison with CUNY business and finance officesData Management & Quality Control (20%)Conduct weekly quality control checks on case intake records and internal data entryEnsure intakes and other program data are logged accurately and consistentlyMaintain contact lists, databases, and shared drivesProvide basic reporting and administrative data support as neededCommunications & Program Support (10%) – Nice to HaveAssist with drafting routine correspondence and internal communicationsSupport scheduling, calendar coordination, and meeting logisticsProvide occasional assistance with Mailchimp or external communicationsHelp coordinate travel planning and meeting arrangements as neededRequirementsThe ideal candidate is organized, proactive, and detail-oriented with experience working in structured or bureaucratic environments.Required QualificationsMinimum 2 years of administrative or office support experienceExperience working in a university, legal, nonprofit, government, or similarly structured environmentStrong attention to detail and organizational skillsAbility to manage multiple tasks and competing prioritiesProficiency with Microsoft Office Basic to intermediate Excel skills (comfort with formulas and tracking spreadsheets)Strong written and verbal communication skillsAbility to handle sensitive information with discretionPreferred QualificationsExperience with financial paperwork, reimbursements, or contract processingFamiliarity with higher education or large institutional systemsExperience supporting compliance-related workflowsInterest in civil rights, social justice, or public interest workWork EnvironmentRemote or hybrid work arrangements will be consideredOccasional in-person meetings at CUNY School of Law may be requiredFull-time position with standard CUNY Research Foundation benefitsBenefitsAs an employee of the CUNY Research Foundation, the Administrative Assistant will be eligible for a comprehensive benefits package, which includes:Medical, dental, and vision insuranceRetirement plan optionsPaid time off in accordance with RF-CUNY policiesAdditional benefits as determined by RF-CUNYTo ApplyCLEAR has retained the services of Charity Search Group to coordinate the search for this position.
