Position Overview
Char-Wills German Shepherd Rescue is seeking a dependable, organized, compassionate, and detail-oriented Office Assistant to support the daily operations of our busy rescue. This position requires someone who can multitask, communicate effectively, maintain accuracy, and remain calm and efficient in a fast-paced environment where priorities can change throughout the day.

Schedule
This is a part-time position with a rotating two-week schedule.
Week One
- Monday 10am-3pm
- Tuesday 10am-3pm
- Thursday 10am-3pm
- Friday 10am-3pm
Week Two
- Wednesday 10am-2pm
- Friday 10am-2pm
- Saturday 9am-4pm
- Sunday 9am-4pm
During your initial training period, you should expect to work additional hours and days as needed to learn all aspects of the position and become familiar with our procedures.
Applicants must be willing to remain past their scheduled end time if adopters, fosters, or other appointments are still in the office. Providing excellent customer service is a priority, and this is a required part of the position.
Flexibility is essential. There may be times when you are asked to work an additional day to cover another staff member due to illness, vacation, or other scheduling needs.
We understand that work-life balance is important. While the needs of the rescue must always come first, we are willing to consider reasonable schedule adjustments whenever possible to help meet both the operational needs of the rescue and the individual needs of our team members. Open communication and advance notice are appreciated and help us work together to find solutions that benefit everyone.
Responsibilities
- Answer phones, emails, and greet visitors in a friendly and professional manner.
- Manage dog records using Shelterluv, including medical records, intake information, foster records, adoption documentation, and other critical rescue data.
- Schedule appointments and assist with the adoption process.
- Process donations and maintain accurate records.
- Prepare paperwork for adoptions, transports, and veterinary appointments.
- File, scan, and organize office documents.
- Communicate professionally with adopters, fosters, volunteers, veterinary offices, and fellow staff members.
- Utilize Google Workspace, including Google Docs and Google Sheets, to maintain records, track information, and collaborate with the team.
- Assist with kennel operations when needed to support the overall mission of the rescue.
- Complete additional duties as assigned to help ensure the smooth daily operation of the rescue.
Qualifications
- Excellent organizational, written, and verbal communication skills.
- Working knowledge of Google Workspace, including Google Docs and Google Sheets, or the ability to quickly learn these programs.
- Experience with Shelterluv is preferred but not required. We are willing to train the right candidate who is eager to learn.
- Exceptional attention to detail is required. Accuracy is critical when entering information into Shelterluv, preparing paperwork, maintaining rescue records, and communicating with adopters and veterinary partners.
- Ability to maintain efficiency, organization, accuracy, and professionalism while working under pressure and managing multiple priorities.
- Strong problem-solving skills and the ability to adapt to changing situations.
- Dependable, punctual, professional, and flexible.
- Strong customer service skills with a compassionate and positive attitude.
- Excellent communication is essential. The ability to communicate clearly, respectfully, and promptly with coworkers, volunteers, adopters, veterinary offices, and management is a key responsibility of this position.
- Teamwork is a must. We are a small rescue, and every staff member plays an important role in helping one another. Working together, communicating effectively, and supporting one another keeps the rescue running smoothly and ensures the best possible care for our dogs.
- Willingness to assist wherever needed, understanding that no two days are exactly alike in animal rescue.
