Job Overview
The Office Assistant provides essential administrative and clerical support to ensure the smooth day-to-day operation of the office. Responsibilities include answering and directing phone calls, greeting visitors, providing casual English/Spanish interpreting and translation, and maintaining office, breakroom, and uniform inventories. The role also supports ordering supplies, handling mail and deliveries, scanning and filing documents, and organizing daily paperwork and records. Additional duties include assisting with data entry in Access and Excel, scribing, compiling and distributing daily attendance and operational reports, and supporting onboarding activities. This includes setting up new hires to review required training courses and preparing onboarding packets and materials for new employees.
Duties
- Serve as the first point of contact for in-person visitors and vendors
- Greet and direct visitors, resolve routine administrative issues, and respond to general inquiries
- Accept, screen, and route incoming telephone calls
- Transfer data from paper formats into computer files or database systems and verify accuracy
- Maintain office and uniform supply inventory; anticipate needs and place orders
- Scan and digitize paperwork using Adobe
- Serve as timekeeper or meeting recorder as requested
- Retrieve, sort, and distribute incoming mail; prepare outgoing mail
- Perform general clerical and receptionist duties including filing, photocopying, collating, and faxing
- Tracking employee hours and reviewing daily sign-in sheets against hours and attendance reports for accuracy
Skills
- High School Diploma/GED or equivalent preferred
- Valid driver’s license required
- Bilingual Spanish/English preferred
- Proficient in Microsoft Office Suite (Excel, Word, Outlook) and general computer use
- Previous office experience or clerical experience is preferred
- Exceptional phone etiquette and customer service skills to support clients professionally Ability to manage multiple tasks and prioritize effectively
- Adept at data entry, filing, proofreading, and managing calendars with time management expertise
- Strong written, verbal, and interpersonal communication skills
- Ability to interact professionally with all levels of staff
- Excellent customer service and organizational skills
- Proven ability to work effectively in a fast-paced environment
Pay: $21.00 per hour
Expected hours: 40.0 per week
