Specialist, Quality Assurance - Fragrance & Beauty
About the Role:
CHANEL is looking for a Quality Specialist to join our Quality Team (Quality/ Cosmetovigilance) in Piscataway, NJ. You will play a leading role in ensuring compliance and support of Quality and Cosmetovigilance activities for cosmetic and OTC drug finished product, as well as helping to ensure timely compliance regarding record keeping and reporting to FDA and our global partners while supporting the monitoring of updates and regulations at the federal or state government level. The need is for an experienced quality assurance person to understand the role, the regulations, and impact to cosmetics and OTC drugs. This role interfaces with multiple departments within the company and is a key partner for Regulatory, Operations, Legal, Global Quality & Cosmetovigilance, and Customer Care.

Assist Cosmetovigilance & Quality Assurance Functional Responsibilities:
  • Assist with preparation and updating of Quality & Cosmetovigilance procedures (i.e., SOPs and Work Instructions).
  • Assist in compliance with newly enacted Modernization of Cosmetics Regulation.
  • Collaborates with additional CHANEL departments (Customer Care, Quality Assurance, Cosmetovigilance, and Returns department) to ensure appropriate collection and handling of safety and product data in a timely manner.
  • Primary back-up & acting in-person coverage for Cosmetovigilance manager.
  • Primary back-up & acting in-person coverage for Quality Assurance manager, as well as helping manage and support QA union inspectors when needed.
  • Ensure compliance with the Records Retention and legal hold policies by maintaining and routinely reviewing all physical files maintained by the Quality Assurance Department.
  • Attend all in-person meetings, webinars, seminars, trainings, and conferences, as requested.
  • Assist in authority & product inspections.
  • Participation in industry trade association committees and meetings, both in-person and via Teams.
  • Collaborate closely with the Cosmetovigilance manager and Quality Assurance manager to assess gaps and streamlining of processes while focusing on compliance as we grow.
  • Participate in regular discussions with the Global Quality & Cosmetovigilance teams.
  • Aid in post-marketing surveillance to guarantee safety compliance while assisting to ensure the accurate and timely reporting of complaints to FDA & our Global partners.
Cosmetovigilance specific responsibilities:
  • Provide review and initial assessment of all incoming adverse events, including follow-up, and escalate to manager, as needed.
  • Aid in preparing and submitting serious adverse events to FDA while following the internal review process per SOP.
  • Create and document follow-up to consumer for additional information according to the company standard.
  • Maintain all associated documentation pertaining to individual cases.
  • Perform MedDRA coding of all AEs as reported in source documents.
  • Aid in maintaining all records of adverse events in safety database and assist in updating and maintaining internal adverse event spreadsheet in timely manner.
  • Request incidence levels for products, as needed, and participate in discussions with Global Cosmetovigilance regarding serious adverse event cases.
  • Assist the larger team with preparing and presenting Cosmetovigilance updates to various internal teams, both in-person and via Teams. Assist with all cross-functional trainings, as needed.
  • Retrieve physical product return from returns department manager and visually assess product for use, counterfeiting, etc.
  • Interact with Regulatory team to understand reformulation of products involved with incoming adverse events.
  • Assist with investigation of elevated claims to insurance.
  • Update monthly adverse event spreadsheet to ensure robust & correct safety data is shared with our Global Cosmetovigilance partners.
Quality Assurance specific responsibilities:
  • Interact with Customer Care on consumer product inquiries.
  • Review of COAs to ensure acceptability and release of product.
  • Aid and support QA Manager in post-market surveillance of quality issues discovered locally or quality claims communicated by Global Quality.
  • Aid and support QA Manager in voluntary or mandatory product market recalls.
  • Prepare and provide work assignment to QA union inspectors when needed.
  • Aid and support logging of retains maintained by the Quality Assurance Department when needed.
  • Assist QA Manager in supporting quality responsibilities at subcontracting facilities when needed.

What you will bring to the team:
  • Entry level knowledge of U.S. cosmetic and OTC cGMP drug regulations
  • U.S. Food & Drug Administration (FDA)
  • U.S. Federal Food Drug and Cosmetic Act (Modernization of Cosmetics Regulation Act of 2022)
  • U.S. Federal Fair Packaging and Labeling Act
  • U.S. State Regulations, including California, pertaining to the compliance and safety of practices of cosmetic and OTC products
  • Consumer Product Safety Commission
  • Keen judgment to proactively capture serious adverse events for possible submission to FDA.
  • Keen judgement to proactively capture issues for product non-conformity pre and post market.
  • Excellent interpersonal, communication and organizational skills
  • Experience in problem solving.
  • Ability to work in fast-paced environment.
  • Ability to build relationships and collaborate.
  • Strong attention to detail, able to multi-task and process driven.

Position Logistics:
  • Preferred Minimum Education: Bachelor of Science or related science.
  • Preferred Minimum Years of Experience: 1-3 years of quality in Cosmetic or related industry experience.
  • In-person presence in Piscataway, NJ office at least 3 days per week.
  • Occasional availability for calls with international teams at earlier or later times during the day.
  • Special Requirements of the Position: French speaking a plus
  • Some travel to NY and other locations domestically and internationally.
  • Experience with SAP or related ERP systems preferred.

Compensation:
The anticipated base salary range for this position is $60,000 through $95,000. Base salary is one component of the total compensation for this position. Other components [may/will] include additional compensation, benefits, and perks.
