POSITION SUMMARY
The Document Control Specialist, reporting through the Quality function, is responsible for organizing, maintaining, and improving company documents, records, and information so employees can easily find and use accurate information. This position supports quality, safety, customer service, and continuous improvement by creating reliable document systems, correcting outdated or inconsistent information, and maintaining clear standards for how company information is managed.
KEY RESPONSIBILITIES
- Manage company documents, records, forms, procedures, and other controlled information to ensure current versions are organized, accessible, and properly maintained.
- Review existing files and information systems to identify outdated, duplicate, incomplete, or inconsistent content and coordinate corrections with the appropriate departments.
- Develop and maintain document control standards, including naming conventions, version control, approval status, retention practices, and organized storage structures.
- Partner with department leaders to create, revise, and standardize documents while ensuring approved information is accurate, consistent, and available to the employees who need it.
- Support continuous improvement by evaluating how company information is created, stored, shared, and maintained and recommending practical improvements to document and information-management processes.
QUALIFICATIONS
- Experience: Minimum of 2 years of experience in document control, records management, administrative operations, quality systems, information management, or a related role.
- Education: High school diploma or equivalent required; associate or bachelor's degree in business administration, information management, records management, or a related field preferred.
- Technical Skills: Proficiency with Microsoft Office and experience organizing electronic records, managing document versions, maintaining shared file systems, and developing standardized document structures.
- Soft Skills: Ability to evaluate complex or disorganized information, communicate effectively across departments, maintain confidentiality, and identify practical improvements while managing multiple documentation priorities.

SCHEDULE
The standard schedule is Monday through Friday, 8:00 AM to 5:00 PM, with flexibility in start and end times based on position, department, and operational needs.
PHYSICAL REQUIREMENTS
- Ability to remain seated and work at a computer for extended periods.
- Ability to regularly use a computer, keyboard, mouse, telephone, and other standard office equipment.
- Ability to occasionally lift, carry, or move files, records, office supplies, or equipment weighing up to 25 pounds.
- Ability to access physical and electronic records and move throughout an office environment as needed.
