Product Records Coordinator
Location: Madisonville, LA
Reports To: General Manager
Schedule: Monday–Friday, 8:00 AM – 5:00 PM
Position Overview
The Product Records Coordinator plays a critical role in maintaining accurate product, pricing, and cost data across the organization. This position ensures the integrity of item setup, pricing programs, and promotional records to support sales execution, compliance, and financial accuracy. The ideal candidate is detail-oriented, analytical, and comfortable working cross-functionally in a fast-paced beverage distribution environment.
Key Responsibilities
- Maintain and update daily records for all saleable products, ensuring accuracy and completeness in pricing systems.
- Administer pricing, promotion tables, and product cost plans in accordance with supplier agreements and internal policies.
- Set up and maintain records related to:
- Retail pricing and promotional programs
- Product costs, freight, and margin structures
- New item creation, item changes, and product discontinuations
- Coordinate with sales, finance, warehouse, and suppliers to ensure alignment on pricing, promotions, and product data.
- Perform month-end and period-end pricing and cost reconciliations; research and resolve discrepancies.
- Support supplier price changes, deal uploads, and cost adjustments in a timely manner.
- Ensure compliance with internal controls and industry regulations related to pricing and records management.
- Assist with audits by maintaining organized and accurate documentation.

- Strong organizational, analytical, and attention-to-detail skills.
- High proficiency in Microsoft Excel (formulas, pivot tables, lookups preferred).
- Ability to manage multiple priorities and meet deadlines with minimal supervision.
- Excellent written and verbal communication skills.
- Strong problem-solving abilities with a continuous improvement mindset.
- Experience working with pricing or product databases (beverage distribution experience strongly preferred).
Qualifications

Bachelor’s degree in business administration, Marketing, Finance, or a related field preferred (or equivalent work experience).

1–3 years of experience in product records, pricing, accounting support, or operations administration preferred.

Comfortable using Microsoft Office tools in an office-based environment.

Must be 18 years of age or older.
