What You Will Be Accountable For
Front Desk & Visitor Experience
- Serve as the first point of contact for all visitors, clients, and vendors, ensuring a professional and welcoming atmosphere.
- Manage secured front-door access and route calls efficiently through a multi-line phone system.
- Oversee lobby presentation, including displays, signage, and visitor materials.
- Monitor parking lot usage and coordinate access for authorized visitors.
- Assist with scheduling and coordinating staff travel and related expense tracking.
- Support the Executive Assistant in vendor management and day-to-day administrative needs.
- Coordinate logistics for client meetings and internal events, including catering, setup, and materials preparation.
- Assist with company-wide communications such as newsletters, memos, and event announcements.
- Support onboarding by preparing welcome materials and workstation setup for new hires.
- Maintain updated office directories, calendars, and administrative records.
- Order, restock, and track inventory of office, kitchen, and event supplies through approved vendors.
- Maintain cleanliness and organization of common areas, ensuring all machines and coffee stations are stocked and operational.
- Provide backup lunch coverage and ensure shared spaces remain tidy and functional.
- Process incoming and outgoing mail and packages, ensuring timely distribution.
- Manage USPS and FedEx shipments, including labeling, postage, and pickup scheduling.
- Track supply usage (ink, postage meters, shipping materials) and reorder as needed.
- Provide guidance to employees on shipping procedures and ensure compliance with mailing policies.
- High school diploma or equivalent required.
- 1 years of experience in an administrative, reception, or customer service role.
- Proficiency with Microsoft Office Suite (Outlook, Word, Teams, basic Excel, PowerPoint).
- Excellent communication and interpersonal skills with a positive, professional demeanor.
- Strong attention to detail, organization, and ability to multitask effectively.
- Comfortable handling confidential information with discretion and professionalism.
- Friendly, engaging personality with a focus on teamwork and client service.
- Experience using Canva or similar design tools. (Preferred)
- Prior experience supporting event planning or internal communications. (Preferred)
